Job Description
Position Summary Variable Speed Solutions (VSS) is hiring a Dispatcher / Service Coordinator to serve as a primary point of contact for our service customers and to coordinate the daily activity of our field technicians. This is a customer-facing operations role focused on keeping service calls organized, technicians moving efficiently, and customers informed from intake through completion. This position is being added to expand our customer support capacity as our service division grows, and works alongside our existing service administration team. The ideal candidate is highly organized, calm under pressure, and able to manage shifting priorities throughout the day while communicating professionally with both customers and field staff. VSS specializes in variable frequency drives (VFDs), pump stations, water filtration systems, and industrial/commercial service work throughout Southern California and surrounding regions. Key ResponsibilitiesDispatch & Scheduling Coordinate daily schedules for field technicians across multiple service divisions Dispatch technicians to emergency service calls, preventive maintenance visits, troubleshooting, and project-related work Monitor technician availability, travel, and job progress throughout the day Adjust schedules as priorities change and communicate updates to customers and staff Customer Communication Serve as a primary point of contact for customers regarding scheduling, arrival times, and service updates Maintain professional communication via phone, email, and text Create and track service requests and work orders Help ensure customer issues are addressed promptly and thoroughly Administrative & Operational Support Create and manage work orders within company software platforms Track purchase orders, materials, equipment deliveries, and job status updates Coordinate with sales, technicians, vendors, and management to support operational workflow Review technician paperwork, notes, and time entries for completeness Help maintain accurate job documentation and internal records Team Coordination Work closely with technicians, project managers, sales, and accounting Help improve workflow efficiency and communication between departments Support operational processes and procedures as our systems continue to evolve Qualifications Required Prior dispatching, scheduling, or service coordination experience in a commercial setting Experience in construction, electrical, mechanical, HVAC, pump, water, or industrial service industries Strong organizational and multitasking abilities Excellent verbal and written communication skills Proficient with Microsoft Office, Outlook, and general computer systems Ability to remain calm and professional in fast-paced or high-pressure situations Strong attention to detail and follow-through Preferred Experience with field service management software (BuildOps, ServiceTitan, ESC, or similar) Familiarity with CRM platforms such as HubSpot Bilingual English/Spanish Preferred Traits Strong sense of urgency and accountability Team-oriented mindset Problem solver who takes initiative rather than waiting for direction Professional demeanor with customers and coworkers Adaptable to changing priorities and operational needs Compensation & Benefits Competitive pay based on experience Paid holidays and PTO Medical, dental, and vision insurance 401(k) with company match and profit sharing (eligibility after standard plan waiting period, generally one year) Opportunities for growth within an expanding service organization Supportive, team-oriented work environment About Variable Speed Solutions Variable Speed Solutions (VSS) provides service, repair, maintenance, startup, and installation support for variable frequency drives, pump stations, filtration systems, and related industrial equipment.
