Position Description:
Work from the Silverthorne office - this is NOT a remote position Must be able to drive for Summit Express as this is a multi-role between Dispatch Shifts & Guest Service Driving Shifts Position Overview Summit Express is hiring a Transportation Dispatcher who can think ahead, remain composed when plans change, and take ownership of a fast-moving transportation operation. Dispatchers coordinate drivers, vehicles, guest movements, reservations, flights, road conditions, and real-time service changes while maintaining positive operational control throughout the shift. This position requires sound judgment, clear communication, and consistent follow-through. The successful candidate can assess a developing situation, determine what matters first, act within established authority, and keep the appropriate people informed until the issue is resolved. Schedule and Availability Morning operational coverage is approximately 4:00 AM to 12:00 PM. A scheduled paid handoff may begin before coverage starts. The evening and closing shift begins at 4:00 PM and continues through completion of evening operations, typically ending between 1:00 AM and 2:00 AM. Weekend and holiday availability is required as scheduled, especially during peak winter and holiday periods. Dependable attendance, punctuality, and the ability to stay through the end of the assigned shift are essential. This is a seven-day transportation operation, not a traditional Monday-through-Friday schedule. Exact reporting and paid handoff times are established with the assigned schedule. Primary Responsibilities Monitor active trips, drivers, fleet vehicles, flights, road conditions, and changing operating conditions throughout the shift. Verify driver and vehicle assignments, manifests, pickup times, addresses, luggage needs, special instructions, and guest contact information before service. Coordinate routing, transfers, pickups, staging, passenger exchanges, schedule adjustments, and other guest movements. Identify potential problems early and take corrective action before they become service failures. Respond to weather, road closures, vehicle breakdowns, driver call-outs, no-shows, missed connections, flight disruptions, guest concerns, and other operational challenges. Communicate clear instructions and accurate updates to drivers, guests, Sales and Reservations, leadership, and other team members. Handle escalated guest situations and coordinate appropriate service recovery. Make timely decisions while balancing safety, guest service, operational efficiency, and company policy. Maintain accurate real-time notes and provide a complete handoff covering changes, delays, communications, complaints, incidents, resolutions, and unresolved follow-up. Provide shift-level leadership within established authority when the Manager on Duty is unavailable. Assist with reservations, rebooking, and reservation changes, and perform Transfer driving duties when assigned. This position also requires you to serve as a Guest Service Driver. A typical week may consist of 3 Dispatch shifts and 2 Guest Service Driving shifts. The Person Who Succeeds in This Role A successful Dispatcher does not wait for every next step to be assigned. They can give clear direction without creating unnecessary conflict, hold others accountable professionally, acknowledge mistakes, and communicate problems early. They understand that staying busy is different from maintaining operational control. Qualifications Previous supervisory, management, team lead, shift lead, or comparable leadership experience is strongly preferred. Transportation, dispatch, logistics, hospitality, aviation, emergency response, customer service, or another fast-paced operation experience is preferred. High school diploma or GED required. Strong computer proficiency and the ability to work accurately across multiple systems at once. Strong written and verbal English communication skills. Exceptional attention to detail involving names, addresses, routes, flight information, pickup instructions, timing, and special guest needs. Ability to prioritize competing demands, make timely decisions, and remain calm during high-volume or stressful situations. Proactive, accountable, self-directed work style with strong situational awareness and follow-through. Ability to follow established procedures and recognize when an issue requires escalation. Valid driver's license and acceptable driving record required. Must meet Summit Express Guest Service Driver qualifications and successfully complete the company driving class and all required driver training. Must pass the required pre-employment drug test, background check, and remain eligible for ongoing testing required by applicable DOT regulations and company policy.
