In this role, you will be the central communication hub, ensuring timely response to customer requests, optimal routing of service calls, and seamless internal communication across departments. Your proactive approach will help maintain high customer satisfaction and smooth daily operations, contributing to the overall success of our HVAC services. Responsibilities Manage incoming service requests via multi-line phone systems and internal communication channels, ensuring prompt and professional customer interactions using phone etiquette. Schedule and dispatch HVAC technicians efficiently using vehicle dispatch software and transportation management systems considering priority levels and technician availability. Coordinate with supply chain and logistics teams to ensure technicians have necessary parts, tools, and equipment for each job. Monitor fleet management data including GPS and GIS systems to optimize routes, track technician locations, and improve transportation planning. Maintain accurate data entry related to dispatch activities, service orders, freight details, shipping & receiving logs, and DOT (Department of Transportation) compliance records. Communicate effectively with customers regarding appointment times, delays, or changes while providing exceptional customer service throughout the process. Collaborate with internal teams on transportation planning, road transportation operations, and freight management to ensure seamless service delivery. Skills Proficiency in transportation management systems such as Jobber with familiarity with vehicle dispatch software is highly desirable. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent communication skills for phone call management, internal communication, and customer interactions. Knowledge of GIS (Geographic Information Systems), GPS technology, and road transportation operations to enhance dispatch accuracy. Ability to analyze data related to transportation planning and supply chain logistics for continuous improvement. Competence in using Microsoft Office applications including Excel for data entry and analysis; typing skills are essential. Understanding of DOT regulations governing vehicle operations and safety standards in transportation management.
