We are a 24-hour operation serving our customers 7 days a week, 365 days a year, including weekends and holidays. This is a full-time, in-person position that requires flexible availability. Dispatchers work a regularly scheduled eight-hour shift and are also required to participate in on-call coverage outside of their scheduled shift. Candidates must be willing and able to work flexible hours, respond when on call, and report to the office overnight when operational needs require it. Customer Service Training Requirement All newly hired Dispatch employees must complete approximately three months of training in the Customer Service department before transitioning into Dispatch. During this training period, employees will learn our customer service standards, order-entry procedures, delivery services, company software, and daily operations. Employees must demonstrate that they can accurately enter orders, gather all necessary delivery information, communicate professionally with customers, and follow company procedures. Completion of three months of training does not guarantee an automatic transition into Dispatch. Employees will move into the Dispatch department once management is confident in their customer service and order-taking abilities. The training period may be extended when additional training or experience is needed. Candidates must be willing to complete the required Customer Service training period before being moved into Dispatch. Position Summary Dispatchers coordinate deliveries, communicate with customers and Independent Contractor drivers, and help ensure every shipment is completed accurately, safely, and on time. This position requires excellent communication, organization, problem-solving, and time-management skills. Dispatchers must be able to manage multiple deliveries, adjust to changing priorities, and remain calm and professional in a fast-paced, around-the-clock delivery environment. Primary Responsibilities Dispatch Operations Assign deliveries to qualified Independent Contractor drivers. Verify that drivers have received and accepted assigned deliveries. Monitor pickup and delivery progress throughout the shift. Follow up on open jobs and jobs placed on hold. Coordinate time-sensitive deliveries efficiently. Ensure medical deliveries receive priority unless otherwise directed by management. Adjust assignments and delivery plans when traffic, weather, driver availability, or other unexpected circumstances affect operations. Respond to operational issues during scheduled shifts and assigned on-call periods. Customer Communication Answer incoming telephone calls promptly, professionally, and courteously. Provide customers with accurate pickup and delivery status updates. Notify customers of delays and provide estimated arrival times whenever possible. Address customer questions and concerns calmly and professionally. Support the Customer Service department when needed. Driver Communication Maintain professional working relationships with Independent Contractor drivers. Communicate delivery assignments and instructions clearly. Respect drivers' right to accept or decline delivery opportunities in accordance with company policy. Assist drivers with questions, routing issues, pickup or delivery concerns, and special instructions. Communicate through company-approved systems, including telephone, text message, email, and dispatching software. Documentation and Delivery Completion Enter complete and accurate notes into every order. Document customer requests, driver updates, delays, delivery issues, and special instructions. Verify that completed deliveries include all required Proof of Delivery signatures and information. Respond promptly to requests from the administrative office for paperwork or delivery information. Ensure order information is clear and complete enough for future reference. Priority Management and Problem Resolution Monitor multiple active deliveries and prioritize assignments based on service level, delivery deadline, location, vehicle requirements, and customer needs. Identify potential delays or service problems and take appropriate action. Resolve routine delivery concerns whenever possible. Escalate serious concerns or problems to management when appropriate. Demonstrate sound judgment when making time-sensitive decisions. Teamwork and Office Support Assist fellow dispatchers during busy periods. Work cooperatively with Customer Service, Warehouse, Independent Contractor drivers, and Management. Maintain a clean, organized, and clutter-free workstation. Provide operational coverage during nights, weekends, holidays, or other times when needed. Perform additional duties as assigned to support daily business operations. Qualifications and Skills Ability to speak, read, and write English fluently is required. Spanish-speaking ability is preferred but not required. Willingness to complete approximately three months of Customer Service and order-entry training before transitioning into Dispatch. Willingness and ability to work flexible hours. Willingness and ability to participate in on-call coverage outside of regularly scheduled working hours. Ability to report to the office overnight when operational needs require it. Reliable transportation and the ability to report to work when called in. Strong verbal and written communication skills. Excellent customer service and interpersonal skills. Strong organization, multitasking, and time-management abilities. Excellent attention to detail and commitment to accuracy. Ability to remain calm and professional in a fast-paced environment. Ability to make sound decisions and solve problems quickly. Ability to communicate professionally by telephone, text message, email, in person, and through company software. Ability to manage multiple active deliveries and changing priorities. Dependable, punctual, honest, and trustworthy. Ability to maintain the confidentiality of customer and company information. Ability to work collaboratively and assist coworkers when needed. Professional appearance consistent with a business-casual dress code. Previous dispatch, transportation, logistics, customer service, call center, order entry, or routing experience is preferred but not required.
