Our company culture is based on three simple principles: Be on time Be willing to learn Do your best every day We are seeking a friendly, organized, and detail-oriented Office Assistant / Dispatcher to help support our customers, technicians, and daily office operations. Position Summary The Office Assistant / Dispatcher serves as a key point of contact for our customers and field technicians. This position is responsible for scheduling service appointments, coordinating technician dispatching, maintaining customer records, and providing outstanding customer service. Responsibilities Deliver exceptional customer service by phone and email Answer incoming calls and assist customers with scheduling needs Dispatch and communicate service assignments to technicians Maintain and update customer records and service history Manage scheduling and dispatch boards to maximize technician efficiency Assist with service agreements and work order management Support technicians throughout the day with scheduling and customer communication Prepare reports and perform administrative duties as needed Assist with general office responsibilities including filing, data entry, and customer reception Perform additional duties as assigned QualificationsRequired High school diploma or equivalent Minimum 2 years of customer service experience Strong organizational and multitasking skills Excellent communication and problem-solving abilities Proficiency with Microsoft Outlook, Word, and Excel Ability to work in a fast-paced environment and prioritize tasks effectively Professional and courteous phone etiquette Preferred Previous dispatching experience Knowledge of ServiceTitan software HVAC, plumbing, or residential service industry experience Ideal Candidate The ideal candidate is dependable, detail-oriented, customer-focused, and comfortable managing multiple priorities throughout the day.
