Job Description
Dispatcher Summary of the Position The Dispatcher impacts the overall performance and cost of operations. Under general supervision, the Dispatcher operates communication systems utilizing radio, telephone, and computer equipment to provide assistance to vehicle operators and the public. The Dispatcher directs and monitors vehicles in a manner that ensures economic efficiency and safety. The Dispatcher communicates work assignments to operators and acts as a liaison between operators and maintenance staff. The Dispatcher schedules rides when callers contact the office and answers questions regarding services. The Dispatcher sets up new and manages current clients in dispatch software systems. Accuracy and attention to detail are essential. Essential Duties and Responsibilities Using dispatch software, monitor fixed-route operations and direct vehicle and operator activities. Perform quality control checks and address operational problems as they arise. Schedule customer trips by working with the public and outside agencies utilizing dispatch software for demand-response services. Assign and dispatch drivers according to customer requests and operational needs using radios, telephones, or dispatch software. Determine the types and number of vehicles and operators necessary to meet scheduling demands. Relay messages and information to or from operators or supervisors using telephone, two-way radio, or dispatch software. Communicate with customers, supervisors, and leadership to address questions, problems, and service requests. Prepare daily work and run schedules for operators. Record and maintain files and records of customer requests and other dispatch information. Advise operators about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards. Coordinate with maintenance personnel to arrange necessary vehicle repairs to restore service and schedules. Count money from daily manifests turned in by operators and track all receipts related to daily activities. Provide information to internal teams by telephone, in written form, email, software systems, or in person. Use computers and software applications (such as Word, Excel, Access, and dispatch software) to enter, process, and retrieve data. Perform other duties as assigned.
Qualifications:
Minimum Qualifications High school diploma or equivalent plus four years of customer service experience. Proficient in Microsoft Office tools (Outlook, Word, Excel, and PowerPoint). Demonstrated proficiency in computer use, data entry speed and accuracy, strong interpersonal and phone skills, and the ability to work independently. Excellent written and verbal communication skills. Strong organizational skills with close attention to detail. Ability to manage multiple tasks while maintaining high standards. Effective time management skills. Self-starter with the ability to work independently. Preferred Qualifications Two years of professional-level administrative experience preferred. Experience working in a transportation-related field. Knowledge of local streets, roadways, and regional geography. Knowledge, Skills, and Abilities Knowledge of administrative and clerical procedures and systems such as Microsoft Office. Ability to manage files and records. Ability to design forms and enter data in Word, Excel, Access, or dispatch software. Knowledge of the English language including spelling, grammar, and composition. Knowledge of relevant equipment, policies, procedures, and strategies to promote the safety of operators and riders. Knowledge of arithmetic and accounting practices to ensure accurate recording of receipts. Ability to actively listen and understand information being communicated. Ability to communicate clearly and interact professionally with people of diverse backgrounds in person and by telephone. Ability to resolve conflicts and handle customer complaints effectively. Ability to gather and interpret information from maps, schedules, and workflow systems. Ability to analyze information and evaluate results to determine efficient routing and scheduling solutions. Ability to interpret and apply local, state, and federal regulations. Physical Requirements Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 20 pounds.Pay:
