Job Description
We are looking for a detail-oriented Dispatcher to support daily transportation operations in Millburn, New Jersey. This contract opportunity with permanent potential is ideal for someone who can balance scheduling, communication, and recordkeeping in a fast-paced school transportation environment. The person in this role will coordinate trip activity, maintain accurate operational records, and help ensure consistent service for schools, families, and transportation staff. Success in this position requires strong follow-through, sound judgment, and the ability to respond calmly when priorities shift.
Responsibilities:
- Coordinate daily communication with schools, families, staff, and transportation partners to keep service running smoothly and address issues promptly.
- Schedule transportation requests for field trips, athletic events, and other extracurricular travel while confirming timing, vehicle availability, and destination details.
- Maintain and update destination and routing information, including directions and trip data provided by schools, to support efficient dispatching.
- Support driver and bus aide operations by assisting with route and trip assignments, tracking attendance, and organizing required transportation documentation.
- Keep complete records for district vehicles, including inspection forms, maintenance requests, repair history, and required state inspection and preventive maintenance information.
- Prepare department purchasing paperwork and help manage administrative documentation needed for transportation operations.
- Work with parents, school personnel, non-public schools, and outside vendors to process transportation-related forms and coordinate contracted services.
- Assist with route planning, regulatory reporting, accident documentation, and required state or local transportation submissions.
- Provide operational coverage by driving an assigned route when needed and escalating emergency situations to district leadership in a timely manner.
- Step in to help supervise transportation staff and office activity when transportation leadership is unavailable, while performing additional duties that support department efficiency.
