We're seeking an experienced highly organized, detail-oriented Administrative, Billing and Service dispatch experienced individual to join our fast-paced, collaborative office environment. This is an in-person role, Monday to Friday, 7:30 AM to 4:30 PM in Farmingdale, NY. Key Responsibilities Coordinate daily administrative functions for the service department Serve as the primary contact for internal teams and external clients Oversee technician schedules, meetings, and travel arrangements Prepare reports, presentations, and documentation for meetings Handle phone calls, emails, and inquiries professionally and promptly Support onboarding, training, and recordkeeping for service technicians Maintain accurate databases and filing systems Ensure compliance with company and client policies and procedures Daily Tasks Dispatch client service requests and manage work order flow Issue and track purchase orders and service costs Process service tickets and prepare and process billing Maintain service logs and update Teams files Perform administrative and accounting duties related to service operations Qualifications Previous experience in billing, customer service, dispatch, administrative, client support. Strong phone etiquette and clear communication skills. Proficiency in office software (office, teams). Critical thinking and problem-solving abilities.
