Job Description

We are seeking a highly organized and detail-oriented Sales/Dispatch coordinator to join our team. This role is vital in managing office operations, coordinating dispatch activities, and providing exceptional customer service. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience in office management or clerical support. This position offers an engaging work environment where organizational skills and professionalism are highly valued. Duties Understand client needs for oversized/overweight shipments, including knowledge of different trailer types Collaborate with our operations and permitting teams to create customized, competitive quotes that win loads. Negotiate rates, contracts, and terms while ensuring profitability. Manage key accounts for repeat business and upselling opportunities Build and maintain a robust pipeline through cold calling, networking, trade shows, and LinkedIn outreach. Prospect, qualify, and close new business with shippers in key industries: construction, renewable energy (wind/solar), oil & gas, manufacturing, mining, and heavy equipment dealers. Conduct regular safety audits, inspections, and risk assessments of equipment, drivers, and operations. Monitor driver logs, hours of service, and compliance with ELD requirements. Manage daily dispatching of loads across multiple states Track loads, resolve issues proactively, and keep operations running smoothly Schedule and coordinate dispatch activities, ensuring timely communication between teams and clients Support office management tasks such as calendar management, appointment setting, and document preparation Perform general clerical duties including typing, data entry, and supporting personal assistant functions when required Strong organizational skills, time management abilities, and attention to detail are essential for success in this role Requirements 5+ years of proven sales experience in trucking industry, preferably Heavy Haul. Previous experience in dispatching or logistics coordination is required Prior office experience or administrative support experience preferred A track record of closing deals and building relationships with shippers, project managers, and procurement teams. Strong understanding of heavy haul challenges: permitting, routing, pilot cars, load securement, and state/federal regs. Self-motivated, resilient, and thrive in a fast-paced, commission-driven environment. Excellent communication skills (phone, email, in-person) Willingness to travel for client visits, trade shows, and industry events. •
