This is an active position that requires consistent productivity throughout the workday. The dispatcher is responsible for answering customers, scheduling and dispatching technicians, maintaining accurate records, following up on unfinished work, and helping jobs move from the first phone call through final payment. The dispatcher must be able to work productively without constant supervision. Honesty, urgency, accuracy, and follow-through are non-negotiable. Primary Responsibilities Answer calls, texts, emails, and customer inquiries professionally and promptly. Gather complete customer information, including contact details, service concerns, address, lead source, and payment responsibility. Schedule calls based on urgency, location, job type, technician skill level, and availability. Maintain an accurate dispatch board throughout the day. Monitor technician progress and communicate delays or schedule changes to customers. Enter complete and accurate information into Housecall Pro. Select the correct business unit, job type, lead source, and assigned technician. Clearly document customer conversations, complaints, approvals, and special instructions. Review technician notes and job statuses daily. Track parts orders, estimates, return visits, unpaid invoices, and unresolved customer concerns. Keep unfinished jobs on an active follow-up list until completed. Assist with installation scheduling, work-order paperwork, customer confirmations, and job closeout. Confirm completed jobs include proper notes, photos, invoices, signatures, and payment information. Send final invoices, receipts, follow-up messages, and review requests. Report customer complaints, payment concerns, and major scheduling problems to management. Complete assigned office duties during slower periods.
