Job Purpose:
Coordinate and dispatch public transit services using scheduling software to ensure safe, timely, and efficient operations, while delivering high-level customer service and serving as the key communication link between drivers, passengers, and administrative staff.
Essential Job Results:
% of Time Results Expected and Duties Performed 60% Ensure timely and efficient dispatch and coordination of drivers to maintain on-time performance, optimize service delivery, and support overall operational goals by assigning, monitoring and adjusting driver schedules and manifests using transit scheduling software; maintaining continuous communication with drivers via radio, phone, or other devices to ensure safety and efficiency; providing real-time support to drivers, including routing assistance, trip updates, and incident response; tracking vehicle locations and performance metrics using AVL (Automatic Vehicle Location) systems. 25% Provide customer service excellence and trip scheduling by responding to customer inquiries and complaints via phone, email, or in person in a professional and courteous manner; confirming, canceling or modifying passenger trips using demand response or route deviation scheduling platforms; educating customers on service policies, eligibility, and trip booking processes; maintaining accurate records of customer interactions and trip adjustments. 15% Ensure safety through prompt incident support and accurate administrative reporting by monitoring service conditions and escalating safety issues or emergencies to supervisors and/or emergency services as needed; recording and reporting accidents, incidents, and vehicle issues in accordance with agency policies; supporting driver compliance with agency safety protocols, including pretrip inspections, breaks, and incident documentation; logging daily dispatch activity and generating reports related to on-time performance, no-shows, trip denials, and other key metrics; collaborating with call center and operations staff to ensure smooth and consistent service delivery; maintaining knowledge of transit service areas, eligibility criteria, and agency policies. Qualifications:
Education:
High school diploma or equivalent required.
Experience:
A minimum of one year of experience in dispatch, customer service, a transportation environment, or a related field is required; experience with transit scheduling is preferred; logistical knowledge of East Texas to include major highways throughout the region is strongly preferred; previous experience with scheduling software; equivalent combinations of education and experience may be considered.
Licensing Requirements:
A valid drivers license and a safe driving record required; new Texas residents with a valid drivers license from out of state will have 90 days from the date of hire to obtain their Texas drivers license.
Skills and Abilities:
Must possess the ability to manage high levels of stress and maintain composure and professionalism in a fast-paced high pressure environment; ability to multitask; must be able to display a sense of urgency when handling time sensitive issues; requires problem solving and critical thinking skills; ability to meet and maintain key performance indicator goals regarding on-time performance, alert response time, call productivity, driver overtime, client no shows, and accurate scheduling; must have knowledge of the geographical area; ability to pass Department of Transportation (DOT) physical examination and drug screening requirements; must possess a high level of proficiency in Microsoft Word, Excel and Outlook; the ability to operate a tablet and use a multi-line telephone system; bilingual in English and Spanish is preferred.
