Job Description
Job Overview West Coast Pumps & Filtration is seeking a highly organized, self-motivated Plumbing Dispatcher to coordinate our daily service operations. You'll be the central communication hub between our customers, technicians, General Manager, and accounting team—keeping schedules organized, customers informed, and service calls moving. The ideal candidate is personable, quick on their feet, confident on the phone, and naturally good at managing multiple moving pieces and self motivated. Responsibilities Answer and manage incoming calls and emails with excellent customer service Schedule and dispatch technicians based on location, availability, urgency, and skill set Monitor the daily schedule and adjust service calls as priorities change Create and maintain service calls, customer information, job notes, and technician schedules in Smart Service Communicate job details, schedule changes, and customer needs to technicians Follow up on open service calls, estimates, unscheduled work, and customer requests Coordinate recurring and routine service appointments Ensure technicians complete required job notes and paperwork Assist with parts coordination, ordering, and inventory tracking Track incomplete jobs, trip charges, payments, and outstanding service items Maintain accurate and organized customer and service records Work alongside accounting to ensure job documentation, invoices, and payment information are complete Support the General Manager with daily service operations and escalate issues when appropriate Support in creating and managing social media content and engagement Experience & Skills 2+ years of dispatching + service coordination in trades preferred Software Experience with Smart Service, Microsoft Office, QuickBooks preferred Comfortable managing multiple phone lines, emails, and competing priorities Excellent phone presence and customer-service skills Strong computer, data-entry, and organizational skills Accurate, dependable, and strong with follow-through Able to work independently and take ownership of daily responsibilities Calm and adaptable when schedules and priorities change Able to follow established procedures while recognizing when an issue needs to be escalated We're looking for someone who naturally closes the loop —the appointment gets scheduled, the customer gets called back, the technician gets the information, the paperwork gets completed, and unfinished tasks don't disappear into the abyss. $20.00
