Job Description
Job Summary We are seeking a proactive, organized Office and Dispatch Coordinator to support the daily operations of a locally owned landscaping and outdoor construction company in Port Orchard. This position serves as an important connection between customers, field crews, and company leadership. Responsibilities include coordinating schedules and daily logistics, communicating updates, maintaining accurate records, and helping ensure employees, equipment, and materials are prepared for upcoming projects. The ideal candidate is dependable, detail-oriented, comfortable working in a fast-paced environment, and able to adjust quickly when schedules or priorities change. This is an in-person position offering approximately 32 hours per week over four days, with Fridays typically off. Duties and Responsibilities Manage front desk responsibilities, including greeting visitors and answering and directing phone calls professionally. Coordinate daily scheduling, logistics, and dispatching for field crews. Communicate job locations, schedules, priorities, and special instructions to employees. Monitor delays, schedule changes, weather-related adjustments, and urgent requests throughout the day. Communicate timely updates to customers, employees, and management. Maintain accurate job schedules, crew assignments, dispatch records, and customer information. Help coordinate material deliveries, equipment availability, and other operational needs for upcoming projects. Assist with scheduling estimates, customer appointments, and project-related activities. Respond promptly and professionally to customer inquiries by phone and email. Support communication with customers before, during, and after their projects. Perform accurate data entry using spreadsheets, Microsoft Office applications, and QuickBooks. Organize and maintain physical and electronic filing systems. Assist with payroll-related recordkeeping, employee documentation, and general office administration. Order office supplies, monitor inventory, and coordinate office maintenance as needed. Proofread documents and prepare reports, correspondence, or presentations. Perform general clerical duties, including scanning, copying, filing, and document organization. Maintain a professional, organized, and welcoming office environment. Provide additional administrative and operational support as company needs evolve. Qualifications and Experience Previous administrative, office coordination, dispatching, or operations experience required. Experience in landscaping, construction, home services, property maintenance, or another field-service business is highly preferred but not required. Experience coordinating employees, crews, service appointments, deliveries, or changing schedules is a plus. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Experience with QuickBooks or similar accounting software is preferred. Strong computer, data-entry, file-management, and general office technology skills. Excellent organizational skills and the ability to manage multiple priorities. Strong written and verbal communication skills. Professional and friendly customer-service approach. Ability to remain calm, flexible, and solution-focused when schedules or priorities change. Strong attention to detail and follow-through. Ability to work independently while communicating effectively with office and field employees. A degree or coursework in business administration, human resources, accounting, communications, or a related area is helpful but not required. Pay:
