Entry-level, full-time, non-exempt About 1 Green Planet 1 Green Planet (1GP) is an R2v3-certified electronics recycling and IT asset disposition (ITAD) company based in Renton, WA. We work with major Pacific Northwest organizations — including SpaceX, the Gates Foundation, Fred Hutch, the University of Washington, CBRE, and Boeing — to securely recycle electronics, destroy data, and divert materials from landfills. We are a small, fast-moving team where every person directly impacts how the business runs. Position Summary We are looking for a Dispatch & Administrative Coordinator to be the backbone of our daily operations. You will schedule and dispatch our drivers, coordinate customer pickups, keep our ERP system (Makor) clean and current, and support invoices through our integrated Makor and QuickBooks workflow. This is an entry-level role where we will train you on our systems, our customers, and the recycling industry. We're looking for someone who demonstrates reliability, strong attention to detail, and a composed, solution-oriented approach when unexpected challenges arise—such as last-minute staffing changes. Key Responsibilities Dispatch & Driver Coordination Build and adjust daily route schedules for our drivers and trucks based on the recurring stops master and incoming customer requests. Communicate dispatch updates to drivers throughout the day by phone, text, and in person. Track truck assignments and ensure each driver has the correct route, paperwork, and customer access notes (including site-specific protocols for SpaceX, Gates Foundation, and Boeing). Field same-day route changes, customer call-ins, and rescheduling requests. Confirm pickups are completed and update job status in Makor. Customer Service & Communication Answer incoming customer calls and emails about pickups, pricing, and account questions. Schedule new pickups and confirm appointments with customers in advance. Communicate professionally with customers ranging from facility managers at large corporate accounts to small business owners. Escalate pricing questions, complaints, or new account opportunities to the Director. Administrative & Invoicing Support Enter and update job records in Makor (our ERP system) so the Makor-to-QuickBooks integration produces clean invoices. Generate, review, and send customer invoices following established protocols File and organize digital records, including bills of landing, certificates of destruction, and customer paperwork. Maintain customer contact lists and account notes.
Support general office administration:
ordering supplies, managing mail, and keeping the front office organized. Team & Cross-Functional Support Work closely with the Director, drivers, and warehouse team to keep daily operations on track. Flag issues early, missed pickups, equipment problems, and customer complaints. Take on additional projects as the role grows and the business expands. What We're Looking For Required High school diploma or equivalent. Strong written and verbal English communication skills, as you will be on the phone with customers and drivers all day. Comfortable with computers and able to learn new software quickly. Working knowledge of Microsoft Outlook, Excel, and Word. Highly organized with strong attention to detail. Reliable, punctual, and able to manage multiple moving pieces without losing track. Candidates must be authorized to work in the United States. Strongly Preferred Previous experience in dispatch, logistics, customer service, or administrative work. Familiarity with ERP, CRM, or scheduling software Experience with QuickBooks or other accounting software. Interest in sustainability, recycling, or the circular economy.
