Position Summary The Facilities Manager plans and executes the scheduling, processing, and organizing of all facility rentals from on and off campus groups. Duties include maintaining calendar, processing rental reservations, show set up including technical needs, purchasing, financial record keeping, managing student labor, etc.Job Duties and Responsibilities Event & Calendar Management:
- Maintains calendar for all performance and event areas
- Maintains calendar for all academic spaces utilized by collaborating departments
- Receives and processes event requests from RSO's, staff, faculty, and public.
- Processes rental contracts, reservation forms, and billing for events and maintains documentation files.
Event Operations & Coordination:
- Works with internal and external groups to ensure that all logistical, equipment, and building needs are met for load-in/set-up, actual event, and strike/load-out.
- Serves as the main point of contact for technical needs such as lighting, audio, video, and staging requirements.
- Communicates event information and requirements to staff and appropriately staffs events requiring additional labor.
- Coordinates logistical requirements for events with University Support Services; University Police, Physical Plant, Aramark Food Service, IT, etc.
- Creates Physical Plant work orders through Mainsaver software system for events including set-ups and building maintenance.
- Assists House Manager as needed for events.
Technical Production & AV Operations:
- Operates production equipment including audio, video, and lighting systems.
- Performs technical duties including setup and placement of microphones, cabling, mixing, balancing, monitors, riser assembly, troubleshooting, and equipment maintenance.
- Operates a variety of production equipment such as lighting consoles, audio consoles, LED wall, projectors, amplifiers, speakers, and control systems.
- Uses lighting instruments creatively to enhance productions.
AV Systems Management:
- Oversees functionality and reliability of installed audio, video, and lighting systems throughout the facility.
- Coordinates maintenance and repair of AV systems and related equipment.
- Maintains documentation of system configurations, signal flow, and operational procedures.
- Performs routine system checks to ensure readiness for scheduled events.
- Works to reviews technical riders and coordinates production requirements with performers and presenters.
- Develops technical setups for complex events including signal routing and equipment allocation.
- Provides technical consultation to internal and external clients.
Staffing & Training:
- Hires, trains, and manages student labor in conjunction with crew coordinator.
- Assigns student staff for events and technical coverage.
- Provides training for student workers on AV systems and event support procedures.
Facility Operations & Support:
- Maintains and purchases supplies for facility and events.
- Maintains databases and prepares periodic, special, and annual reports such as event information, billings, invoices, accounts billable and receivable, etc.
- Maintains and tags building inventory including key disbursement.
- Assists in maintaining operational readiness of performance and event spaces and maintains records of maintenance and inspections.
Documentation & Continuity:
- Develops documentation for upcoming events including setup diagrams and technical requirements.
- Documents recurring event workflows and technical configurations.
- Maintains operational documentation to support continuity during staffing transitions.
- Other duties as assigned by the Executive Director of Public Appearances. Knowledge, Skills, and Abilities
- Bachelor's degree required.
- Demonstrated skills in special events coordination and technical theatre management experience within the performing arts or related industry (i.e. technical theater, venue management, or another related field).
- Skills to aid with the budget processes including purchasing, invoicing, and collection.
- Microsoft Office Suite and Google G Suite (Word, Excel, PowerPoint, and Outlook).
- Excellent verbal and written communication skills with the ability to communicate with multiple academic departments utilizing the facility.
- Ability to be proactive and professional in highly stressful, time-sensitive situations.
- Ability to work a flexible schedule that is event-driven requiring some mid-afternoon/night and weekends within a 40-hour work week.
- Ability to perform production-related tasks, such as lifting supplies and equipment (40 pounds) and climbing a ladder. Skills Considered Essential for Success

- Bachelor's degree required.
- Demonstrated skills in special events coordination and technical theatre management experience within the performing arts or related industry (i.e. technical theater, venue management, or another related field). Preferred Education and/or Experience
- Familiarity with AV control systems such as Crestron, Q-SYS, Extron, or similar platforms
- Functional knowledge of networking principles including IP addressing, VLANs, and managed switches
- Experience with digital audio consoles and DSP-based audio systems
- Experience with networked AV technologies such as Dante, AV-over-IP, or similar protocols
- Ability to read and interpret AV signal flow diagrams and technical drawings
- Experience troubleshooting integrated AV systems in a live event or installed environment
- Knowledge of lighting control systems and theatrical dimming networks
- Experience with LED wall operation and configuration
- Familiarity with projection systems, switching, and video signal distribution
- Experience maintaining and documenting technical systems and configurations
- Experience training technical staff or student workers on AV systems
- Ability to manage multiple technical spaces and prioritize system readiness
- Familiarity with event production workflows and technical rider review
- CTS or other AV industry certifications (preferred but not required)
