Job Description

Description We are looking for a Facilities Assistant to join our team in Alameda, California. In this role, you will play a key part in maintaining a safe, organized, and efficient workplace environment. Reporting to the Facilities Manager, you will work closely with other team members to ensure seamless daily operations. This is a contract-to-permanent position, offering an excellent opportunity for growth within our organization.
Responsibilities:
  • Conduct regular inspections of the office to identify and address facility-related issues, such as lighting, temperature, and cleanliness.
  • Coordinate with external vendors for cleaning services, repairs, and scheduled maintenance tasks.
  • Monitor and manage office supply inventory, placing orders to ensure adequate stock levels.
  • Prepare meeting rooms by arranging furniture, setting up AV equipment, and providing refreshments as needed.
  • Assist with office relocations and workspace adjustments, including logistics and vendor coordination.
  • Ensure adherence to health, safety, and security procedures throughout the facility.
  • Handle incoming and outgoing mail and deliveries, ensuring timely distribution.
  • Provide support for special projects, office events, and reconfiguration efforts as required.
  • Maintain accurate facility records, including vendor contracts and maintenance logs. Requirements
  • Previous experience in facilities management, office administration, or a related field is preferred.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Excellent communication and interpersonal abilities to collaborate with team members and external vendors.
  • Ability to work independently and demonstrate problem-solving skills.
  • Proficiency in Microsoft Office Suite; familiarity with facilities management systems is a plus.
  • Knowledge of electrical systems, light repairs, and HVAC maintenance is advantageous.
  • Understanding of OSHA standards and safety procedures.
  • Experience coordinating vendors and managing maintenance schedules.
