We are seeking a detail oriented Facilities Admin Assistant for a Full Time role working in an administrative setting. As a member of the facilities team, the Facilities Admin Assistant provides administrative support to the Facilities Department.
Manage and communicate technician schedules by coordinating daily assignments, tracking appointments and project timelines, updating calendars, and serving as a liaison between technicians, staff, vendors, and department leadership regarding schedule changes and priorities.
Respond to incoming calls and emails regarding facilities issues. Address inquiries, document concerns, route requests to appropriate personnel, and follow up to ensure issues are resolved in a timely manner.
Track and receive all packages, purchase orders, and equipment for the Facilities Department, verifying deliveries, maintaining inventory records, coordinating distribution, and ensuring all items are received, documented, and stored appropriately.
Manage company vehicle scheduling and utilization by maintaining vehicle calendars, coordinating check-in/check-out processes, monitoring vehicle condition and damage reports, and arranging all required maintenance, repairs, recalls, and service appointments.
Provide administrative support to the Facilities Department and support department operations to ensure efficient workflow and communication.
Support departmental compliance with safety policies, procedures, and regulatory requirements.
Other duties as assigned.
Must possess a valid form of identification as listed on the U.S. Department of Justice I-9 form, verified using the E Verify system.
Clean DMV driving record and MACT auto insurance driving eligibility (determined by auto insurance carrier).The position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all times to meet and deal effectively in contacts with Indian health organizations which requires tact, courtesy, discretion, resourcefulness and good judgment in handling functions of a sensitive nature.

What you need:
High School Diploma or equivalent5 years experience in a clerical or administrative role. Facilities department, maintenance or construction experience preferred. Strong written and verbal communication skills. Strong interpersonal skills as demonstrated through the ability to establish and maintain effective working relationships with other departments within the MACT organization. Current BLS/ALS certificateMust pass Occupational Health Screening.Must possess a valid form of identification as listed on the U.S. Department of Justice I-9 form, verified using the E Verify system.
