ANNOUNCEMENT OF POSITION VACANCY SUMMARY
: The Facilities Project Coordinator will report to the Assistant Director, Real Estate & Facilities and will work closely with the Facilities Manager to support all facilities activities. The Facilities Project Coordinator will provide administrative support to the Facilities organization, manage office functions including Work Order system, distributing work orders, and daily office operations, accounts payable, maintaining office records, and providing general support services. Additionally, the Facilities Project Coordinator will manage all outside contractors in support of the Facilities Department, including maintaining records and contracts, scheduling project activities, and providing scheduling.SOME OF THE THINGS THAT YOU WILL GET TO DO
(this is just a small sampling of work variety): Coordinates with vendors/contractors in conducting research, obtaining bids, and planning the calendar. Assist with the development of project scope, budget, and timeline Coordinates details and communication of any maintenance projects/upcoming projects Assist with the bid and award process for outsourced vendors Coordinates the activities of the construction teams Provide oversight for the installation of projects Assist in design/construction conflict resolutions Ensure communication to customers on project processes and procedures Manages keys issued to staff and vendors such as checking in and checking out keys. Researches charges disputed by the residents and assists the Facilities Manager with the appeal process. Updates all facilities lock change files and log book within key room Assists Foundation Housing Service (University Village and The Current) staff with administrative support as time permits and serves as a liaison between Facilities and Housing Compose routine and special correspondence. Ability to adhere to a regular work schedule. Other duties as assignedMINIMUM QUALIFICATIONS
High school diploma; Two to four years related experience and/or training; or equivalent combination of education and experience. Ability to coordinate multiple projects and schedules. Familiarity with work order systems. Experience assisting with budgets, bids, or project tracking. Ability to maintain accurate records. Ability to work both independently and as part of a teamPREFERRED QUALIFICATIONS
An Associate degree is preferred. Previous experience in facilities coordination, property management, or administrative support. Experience working with vendors or contractors and coordinating projects or maintenance activities. Strong organizational and time-management skills. Effective written and verbal communication skills.
