Job Title:
Facilities Coordinator 4 Job Description The Facilities Coordinator 4 supports the Workplace Experience team by overseeing day-to-day facilities operations, maintenance, and vendor management to ensure a safe, efficient, and well-organized workplace. This role manages equipment and supplies, coordinates occupancy services, and proactively builds strong relationships with internal stakeholders to achieve high service standards. The position begins as a 90-day assignment with a planned transition to a full-time role, based in Redwood City, CA. Responsibilities Support an environment of teamwork, cooperation, performance excellence, and personal success across the workplace. Conduct daily walkthroughs of the office to ensure spaces remain clean, organized, and presentable. Respond promptly to all work orders, ensuring compliance with key performance indicators and delivering excellent customer service. Identify opportunities to improve operations and service quality by conducting site inspections and assessments, and recommend enhancements to maintain building procedures and performance measures. Schedule and manage repairs, maintenance activities, minor works, and other work requests, tracking each task through to completion. Provide clear information and direction to vendors, facilities staff, and other service providers to ensure coordinated execution of work with minimal disruption to occupants. Assist in the procurement and onboarding of vendors and services as required for facility operations. Assist with furniture moves, workstation and cube reconfigurations, and general office moves as needed. Coordinate and support events, meetings, and conference room facilities, ensuring spaces are properly set up and maintained. Perform additional facilities-related duties, including reception and guest support, mail and courier services, office supplies management, equipment maintenance coordination, landlord relations, and management of building access passes, as well as safety and security support. Update and maintain accurate records and official documentation for the site, including relevant web pages and logs related to moves, reconfigurations, events, reception, and building operations. Maintain and propose emergency response plans, including evacuation procedures, after-hours emergency response, and environmental health and safety practices. Coordinate site operations in accordance with agreed policies, procedures, and contract scope to ensure consistent service delivery. Comply with all contractual requirements and meet or exceed defined key performance indicators. Deliver a consistently high quality of service, reflected in positive feedback from internal clients and stakeholders. Essential Skills Prior experience in facilities, property management, hospitality, or related fields (preferred). Ability to lift up to 50 pounds and safely move furniture and equipment as needed. Experience in facility or building maintenance, including the use of hand tools and power tools. Ability to work independently with minimal supervision while managing multiple tasks and priorities. Proficiency with Microsoft computer applications and a range of information technology tools and platforms. Strong communication skills with the ability to interact effectively with vendors, staff, and internal stakeholders. Excellent organizational skills with attention to detail in tracking work orders, documentation, and schedules. Effective problem-solving skills with the ability to respond calmly and efficiently in stressful situations. Capability to occasionally lift, push, and move items as required to support facilities operations. Demonstrated ability to support building maintenance, furniture building, and furniture reconfigurations. Additional Skills & Qualifications Knowledge of local occupational health and safety requirements is advantageous. Familiarity with critical facilities operations and vendor management for specialized services is beneficial. Understanding of basic technical aspects of building systems, including computer room air-conditioning, chiller systems, fire protection systems, and mechanical and electrical systems, is advantageous. Expereince in administrator support or office operations is helpful. A confident, energetic, and flexible approach to work, with a strong customer service mindset. Work Environment This role is based on-site in Redwood City, CA, supporting a professional office environment. The Facilities Coordinator works closely with a Workplace Experience and facilities team, as well as external vendors and service providers, to maintain a safe, clean, and efficient workplace. The position involves regular movement throughout the facility, daily walkthroughs, and hands-on tasks such as furniture moves, minor maintenance activities, and event setup. The work requires the use of standard office technology, Microsoft applications, and basic hand and power tools. The schedule aligns with typical business hours, with occasional flexibility needed for events, after-hours response, or urgent maintenance needs. The environment emphasizes teamwork, high performance, and strong customer service, with a focus on maintaining clear documentation, compliance with procedures, and consistent delivery of high-quality workplace services. Job Type & Location This is a Contract position based out of Redwood City, CA. Pay and Benefits The pay range for this position is $22.00 - $23.00/hr.
