Job Description
This position supports all SP campuses (Wilmington, Santa Ana, Oceanside, Upland, Riverside) and would require travel to each site weekly or biweekly.
Objective and Job Summary:
The Coordinator of Facilities supports the planning, coordination, and execution of facilities projects across Scholarship Prep campuses. This position serves as the primary point of coordination for assigned facilities projects, vendors, contractors, timelines, budgets, inspections, and campus readiness activities. The Facilities Coordinator works closely with the operations leadership, school leaders, and external partners to coordinate renovations, repairs, installations, campus moves, and other facility improvements from planning through completion. This role helps ensure projects are completed efficiently, within budget, and with minimal disruption to school operations while supporting safe, functional, and well-maintained campuses.Duties and Responsibilities:
Facilities Project Coordination Coordinate facilities projects from planning and scoping through bidding, implementation, inspection, and closeout. Develop and maintain project scopes, timelines, budgets, task lists, and schedules. Coordinate renovations, repairs, installations, and facility improvements. Track project progress, costs, risks, and outstanding items through completion. Conduct project walkthroughs and verify work meets scope and quality expectations. Track punch-list items, warranties, and unresolved project issues through final resolution. Maintain project records, contracts, estimates, and schedules. Vendor & Contractor Coordination Serve as a primary point of coordination for contractors, consultants, and facilities vendors. Develop scopes of work and obtain competitive bids and proposals. Compare proposals and support vendor selection and contracting. Review project proposals, scopes, plans, estimates, and specifications. Schedule vendor work around school operations and campus needs. Monitor vendor performance, quality, responsiveness, and project completion. Follow up on incomplete or deficient work and support resolution of vendor issues. Facilities Planning & Campus Readiness Support annual and long-term facilities planning. Assist with project budgeting, forecasting, cost estimates, and expenditure tracking. Conduct walkthroughs and identify repair, replacement, safety, and improvement needs. Track major building systems and anticipated replacement needs. Coordinate readiness for new campuses, relocations, and expansions. Support summer projects and annual school opening readiness. Coordinate project purchasing, invoices, and payment documentation in partnership with the Business Office. Facilities Operations Support Partner with the Facilities Manager to prioritize campus facility needs. Support significant repairs requiring outside vendors. Monitor open facility issues and projects through completion. Communicate project updates, timelines, and concerns to school and Home Office leaders. Coordinate emergency facilities response as needed. Read and interpret basic plans, drawings, and specifications. Compliance, Inspections & Agreements Support compliance with applicable building, fire, accessibility, and safety requirements. Coordinate required permits, inspections, and facility-related documentation. Support facility audits and inspections by external agencies and partners. Track corrective actions identified through inspections and facility assessments. Track facility-related requirements within leases, Memorandums of Understanding, Facility Use Agreements, and other third-party agreements. Maintain inspection, permit, warranty, and agreement records.Qualifications:
Bachelor's degree preferred or equivalent relevant experience. 3-5 years of facilities, construction, property management, project coordination, or related experience. Experience coordinating vendors, contractors, projects, budgets, and timelines. Strong project management, organization, communication, and problem-solving skills. Ability to manage multiple projects and competing priorities. Ability to review project scopes, estimates, plans, and related documentation. Experience in schools or multi-site organizations preferred. Valid California driver's license and ability to travel regularly between Scholarship Prep campuses.
