Objective and Job Summary:

The Facilities Manager ensures that all Scholarship Prep campuses are safe, clean, and fully operational learning environments that reflect our commitment to excellence and equity. The Facilities Manager oversees the maintenance, custodial, and repair functions across all campuses, providing leadership, training, and coordination for site-based custodial teams. This position supports preventative maintenance, vendor management, facility compliance, and long-term planning to ensure schools remain in optimal condition for students, families, and staff.

Duties and Responsibilities:

Strategic Leadership & Planning Support the development and implementation of a network-wide facilities plan aligned to Scholarship Prep's mission, operational goals, and campus growth. Anticipate and plan for facility needs associated with new construction, renovations, and campus expansion. Maintain awareness of facility-related trends and best practices to improve efficiency and performance across the network. Facilities Operations & Maintenance Oversee daily maintenance, custodial, and repair operations across all campuses to ensure clean, safe, and welcoming environments. Implement and manage a preventative maintenance program for HVAC, plumbing, electrical, and other building systems. Conduct regular FIT (Facilities Inspection Tool) walks and maintain records of inspection findings and resolutions. Respond promptly to work orders and ensure timely completion with follow-up to confirm issue resolution. Maintain accurate facility documentation including inspection reports, service logs, and safety certifications. Custodial Leadership & Training Serve as the lead trainer, mentor, and coach for site custodians, ensuring consistent quality and professionalism across campuses. Develop and monitor cleaning schedules and task lists aligned to site needs, programs, and special events. Support site leadership with custodial staffing schedules and performance feedback. Ensure custodial staff are trained in safety procedures and use of equipment in compliance with Cal/OSHA standards. Foster a culture of teamwork, reliability, and pride in maintaining Scholarship Prep's facilities. Vendor & Project Coordination Establish and manage vendor relationships for repairs, pest control, landscaping, waste management, and other contracted services. Obtain and compare competitive bids, schedule work, and verify completion to scope and quality standards. Support facility-related procurement and contract management. Coordinate and oversee special projects, minor renovations, and emergency repairs. Safety & Compliance Ensure all campuses meet or exceed local, state, and federal health and safety codes, including fire, ADA accessibility, and building regulations. Support emergency preparedness and safety procedures, including drills, facility readiness, and coordination with public safety agencies. Maintain fire extinguishers, alarms, first-aid kits, AEDs, and other safety equipment according to required inspection schedules. Assist with annual inspections as applicable. Planning & Growth Support Assist in planning and preparing new or renovated facilities for occupancy, including coordinating move-in, vendor setup, and maintenance systems. Maintain an inventory of custodial supplies, tools, and equipment across all campuses. Support budgeting and forecasting for facility and maintenance needs. Identify opportunities for energy efficiency and sustainable practices across sites. Participate in regular operations meetings and contribute to strategic planning discussions.

Qualifications:

Commitment to Scholarship Prep's mission and values of equity, excellence, and community. High school diploma or equivalent required; additional coursework or certifications in facilities management, building maintenance, or safety preferred. At least 6-8 years of progressive maintenance experience, preferably in a multi-site or K-12 education setting. Working knowledge of HVAC, electrical, plumbing, carpentry, and general building systems. Excellent interpersonal and communication skills; able to lead, train, and motivate a team. Strong project management skills with the ability to lead facilities initiatives from concept to completion. Ability to travel regularly between school sites.
