This position works with the CFO to manage day-to-day operations of the Chancery Office and provide safety/risk management support to parishes/schools that may include property inspections, analysis, and evaluation for property and liability insurance issues. The Facilities & Safety Manager is the primary lead for chancery safety procedures, reporting, and compliance with Cal/OSHA. They also provide input to the CFO who is responsible for developing the Diocesan ongoing Risk Management strategy. This position is a primary liaison between the Diocese and parishes/schools and property/insurance/safety support.

Essential Functions 1.
Facilities Operations:
Perform minor maintenance and repairs, coordinate more extensive construction projects, preventive and emergency services, grounds, security systems, building systems, keys, equipment, janitorial services contact, office moves, and event setup for diocesan facilities, which includes, but not limited to: the chancery office, SSU Newman Center, and Bishop's residence. 2.
Customer and Office Support:
Provide safety, security, and operational and facilities support to parishes, schools, diocesan offices, and chancery staff; supervise reception operations and support office & conference meeting setup, equipment, furniture, supplies, access, and onboarding. 3.
Supervise Front Office Personnel:
Provide support and management of the Receptionist to ensure smooth daily operations for the chancery. 4.
Safety, Security, and Emergency Preparedness:
Implement and maintain diocesan safety, security, workplace violence prevention, emergency preparedness, and response programs and written plans in compliance with applicable Cal/OSHA requirements; coordinate training, inspections, and corrective actions. Facilitate the Chancery Safety Committee meetings and annual Safety Coordinator event. 5.
Risk Management and Insurance:
Coordinate property inspections, loss-control activities, insurance requirements, incident reporting, claims, remediation, and related risk-management activities with diocesan personnel, legal counsel, insurers, and service providers. 6. Assist the
CFO:
Work with insurance representatives, diocesan attorneys, contractors, and building committee members to facilitate appropriate review and approval in accordance with diocesan procedures and established thresholds. Assist with remote-access procedures and security requirements. Participate with the non-building contract review process by coordinating legal and insurance contracts containing liability, indemnification, or other risk-related provision. 7.
Property and Environmental Compliance:
Manage property inspections, asbestos program requirements, property and tax exemption requirements, inventories, and other facility-related compliance programs. 8.
Projects, Contracts, and Property Transactions:
Support construction, renovation, repair, and property projects; coordinate bids, contracts, leases, insurance and legal reviews, approvals, and property title transfers. 9.
Vendors and Service Providers:
Serve as the primary contact for Catholic Charities property manager, other contractors, vendors, security providers, insurers, government agencies, and other partners regarding facility, safety, security, and property matters. 10.
Records and Administrative Support:
Maintain accurate facility, property, insurance, safety, security, vendor, nonprofit property-tax exemption and compliance records; and develop facility-use procedures. 11. Perform other related duties as assigned. Education, Experience, and Skills Required
- Active practicing Catholic preferred.
- Bilingual English/Spanish a plus.
- Any education and experience that qualifies you to be successful to meet the essential duties and objectives of this position. Bachelor Degree in relevant field preferred.
- Understanding of and appreciation of relationship and interdependence of Church organization and public agencies and mandated requirements.
- Certification in asbestos inspection or willing to obtain same, risk management, illness and injury prevention, management planning.
- Work independently, and organize and prioritize tasks with multiple deadlines (project management), and good problem-solving skills required.
- Ability to self-manage, take initiative, and follow through to meet objectives.
- This position must have experience and demonstrate a good understanding of general maintenance and be able to perform some maintenance and repair functions. Must be able to oversee and evaluate some outsourced maintenance functions.
- General knowledge of property/liability insurance as it applies to property and transportation equipment.
- Good communication skills and versatility to be able to work with agencies and public in addition to Diocesan personnel.
- Be able to use telephone, computer and printer, calculator, fax machine, copy machine, postage meter, and vehicle.
- Valid California driver's license required.
- Very strong computer skills and ability to set up computer stations, maintain disk backup process, and provide other general office technology support. Essential Physical Functions
- Approximately 5%-10% travel will be required to meet the goals and objectives of this position, including attending out-of-state conference(s).
- Sitting/standing at a desk for an extended period of time, squatting, and/or using a step ladder.
- Complete grounds walkaround, which includes bending, grasping, and carrying objects.
- Using a mouse and keyboard for an extended period of time.
- Requires ability to sit/stand up to 7 hours per day with intermittent occasional walking and bending.
- May be required to lift up to 50 pounds to a height of 4 - 5 feet, or carry 50 pounds up to 50 feet.
