- Full-time Position Summary Facilities Administrative Assistant assist with keeping office and workplace operation by handling administrative tasks, coordinating facilities and vendors, and supporting facilities department daily activities.

Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Coordinate Facilities office by managing service tickets Tracking Daily Records Communicating with Vendor & Contractors Answer phone calls, emails and service requests related to Facilities Oversee supply ordering from multiple vendors while maintaining accurate inventory levels for both departments Facilities & Janitorial. Process purchase orders and Purchase Requisitions using IFS database. Obtain quotes & cost estimates for various special projects. Attend monthly Safety training & trained both Facilities & Janitorial Department Personnel. Closed training record on QT9 Database Process employees' time sheets, absence reports, missed punches, missed meal breaks, adjust schedule, review employee timecards & approved timesheets submit to HR bi-weekly. Maintain schedules updated for shop trash disposal, clean up, and landscaping schedule. Minimum Qualifications (Knowledge, Skills, and Abilities) High School Diploma or Equivalent 1-3 years of administrative experience or office experience Basic computer skills (Word, Excel, Outlook) Strong written and verbal communication skills Ability to Multitask and manage priorities Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
