This position serves as the primary point of contact for campus tenants regarding facility maintenance, security, custodial, and grounds-related concerns while providing administrative and operational support to the Facilities Management team. The ideal candidate is highly organized, comfortable multitasking in a fast-paced environment, and experienced with administrative processes, budgeting, scheduling, and customer service. The Temporary Facilities Administrative Coordinator position is expected to run about 12 weeks.

  • Friday 8am
  • 5pm Key Responsibilities of the Temporary Facilities Administrative Coordinator Serve as the first point of contact for campus tenants regarding facility-related requests and concerns Enter, assign, track, and close work orders in the Computer Maintenance Management System (CMMS) Calculate labor and material costs associated with completed work orders Support day-to-day office operations and maintain organized departmental processes Maintain procurement card (P-card) records and complete monthly reconciliations Order supplies, maintain inventory records, and monitor reorder levels Prepare and maintain budget spreadsheets and expenditure reports using Microsoft Excel Ensure compliance with State purchasing policies and fiscal regulations Schedule staff and tenant meetings, prepare agendas, and document meeting notes Process administrative paperwork including purchase orders, temporary employee documentation, and pay request forms Prepare correspondence, reports, spreadsheets, presentations, and other departmental documents Qualifications Previous administrative, facilities coordination, or office support experience preferred Strong customer service and communication skills Proficiency with Microsoft Office Suite Ability to prioritize tasks and manage multiple responsibilities simultaneously Experience working with budgets, purchasing, or recordkeeping is preferred Ability to maintain professionalism and confidentiality in a business environment Preferred Experience Experience with work order systems or CMMS platforms Familiarity with state purchasing procedures or fiscal guidelines Experience supporting facilities, maintenance, or construction-related departments If this sounds like you, please submit your resume today!
