Job Description
Description The Facilities Assistant provides hands on operational support for the day to day management of the corporate headquarters. This role assists with building maintenance coordination, furniture moves and reallocation, event setup and breakdown, mailroom operations, employee support requests, vendor coordination, and general workplace services. The Facilities Assistant helps ensure a safe, organized, and professional work environment while delivering excellent internal customer service.
Work Day Examples Example:
Light is out, they will take a look and has fluency with building engineering if it is more than just a replacement bulb issue. May need to be fixed by building management or outside vendor. Maning the mailroom. USPS delivers, contractor will use teams to send message to person getting mail. 300 people and 5 floors. Desktop support staff may get 100 computers, so this person will inform them with the information on when that will arrive and spot check. May have events, like town hall at collab area. 100 seats need to be set up. Break down event space and set up AV with equipment and ensure set up. Person will help one off person to help someone move from one floor to another. Breakdown a cube etc. Anything bigger than that, moving 20 people, they will help navigate that. To and from analysis. IT team move from floor A to floor B. May be outside to greet window cleaners or other vendors that do work so having backgrounds in dealing with vendors and course correcting them. Want to see longevity on resumes as a preference. This is a contractor role but can turn into a very long assignment or even be hired down the line. Could be growth opportunity to move into new roles. Fluent in MS Office, saavy enough to put together basic spread sheet. Here is where people are at and where they are going. Outlook/Team for communication.Soft Skills:
Theresa expects this person will let people know that they can't eat or do certain things with building and HR policy. Smoke areas etc. Someone who takes direction well and communicates well since they will be around execs as well. An individual that is personable and has a positive attitude. Qualifications- Associate degree or equivalent experience preferred.
- 2+ years of facilities, office services, mailroom, workplace operations, hospitality, or related experience.
- Strong organizational and customer service skills.
- Ability to perform physical tasks including lifting, moving, and assembling furniture and equipment.
- Proficiency in Microsoft Office applications.
- Ability to prioritize multiple requests and perform in a fast paced environment.
- Strong communication and problem solving skills. Physical Requirements
- Frequently lift and move items up to 50 pounds.
- Ability to stand, walk, bend, and move throughout a multi floor office environment.
- Ability to assist with furniture relocation, event setup, and workplace reconfiguration activities.
