Job Description

Work Order / Dispatch Coordinator - Commercial Facilities Overview We are a nationwide commercial construction and facilities maintenance organization built on respect, teamwork, and accountability. We are seeking a dependable and organized individual who thrives in a fast-paced, service-driven environment. The ideal candidate communicates effectively, manages competing priorities well, and enjoys coordinating multiple moving parts across vendors, clients, and internal teams. Key Responsibilities Receive, prioritize, and dispatch service requests and work orders Create, manage, and track work orders from intake through completion Coordinate and schedule subcontractors for maintenance and repair services Source, vet, and support onboarding of vendors and service providers Monitor job progress and ensure timely completion and closeout Communicate job details, updates, and expectations to vendors and internal teams Review vendor documentation including invoices, reports, photos, and service records Verify completed work prior to billing or job closeout Maintain accurate records of vendors, pricing, and service history Track open work orders and provide status updates to stakeholders Resolve service issues and escalate when necessary Support preventive maintenance scheduling across multiple locations Qualifications Proficiency in Microsoft Office (Outlook, Excel, Word, Teams) Strong organizational and communication skills Ability to manage multiple work orders in a fast-paced environment High attention to detail and accuracy Professional communication with vendors, clients, and internal teams Ability to learn systems and follow established procedures Prior experience in dispatch, facilities coordination, maintenance, or construction support preferred Preferred Experience Facilities maintenance, property services, or subcontractor-based operations Dispatching or coordinating field service providers Vendor management, scheduling, or work order systems Exposure to trades such as HVAC, plumbing, electrical, or general maintenance Multi-location or high-volume service environment experience Equal Opportunity Employer / Disabled / Protected Veterans The Know Your Rights poster is available here: https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdf The pay transparency policy is available here: https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdf For temporary assignments lasting 13 weeks or longer, AppleOne is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.
