Job Title:
Property Administrator Job Description The Property Administrator plays a crucial role in the Property Management Team, ensuring a high level of professionalism in addressing property issues and responding promptly to tenant requests. This position does not require travel and reports to the Assistant Property Manager or above. Responsibilities + Provide comprehensive administrative support, including phone support, typing reports, filing, and distributing correspondence. + Schedule and coordinate meetings or special events as requested. + Assist with lease administration activities such as tenant contacts and insurance information, and generate relevant reports. + Prepare and coordinate bid proposals, service contracts, and approved invoices. + Support the bidding process and ensure compliance with company policies and procedures. + Prepare and code invoices for Property Manager's approval. + Ensure office is stocked with necessary supplies and items. + Manage contract and insurance information accurately within contract administration software. + Track and file contracts and certificates of insurance, maintaining a follow-up system for expirations. + Monitor and maintain the property maintenance work order system, preparing monthly reports for Property Manager. + Maintain the property purchase order system. + Maintain lease and contract files in the property management office. + Promote positive relationships with tenants and clients, tracking service calls as required. + Assist with monthly and quarterly management reports and annual budget preparation. + Process management and maintenance staff hours, tenant bill back invoices, accounting expense reports, monthly meter readings, and check requests for review and approval. Essential Skills + Excellent communication proficiency, both oral and written. + Strong customer focus, both internal and external. + Superior organizational skills. + Excellent interpersonal skills. + Ability to take initiative and multi-task effectively. + Proficiency in Microsoft Office Suite. Additional Skills & Qualifications + High school diploma/GED equivalent, Bachelor Degree preferred. + Previous customer service experience preferred. + Experience in property management and property administration. + Ability to interface with decision makers professionally and maintain confidentiality. Work Environment This role operates in a professional office environment located in Miami, Florida, at 9100 S Dadeland Blvd. The position requires working from Monday to Friday in-office, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Employees are expected to remain in a stationary position for 85% of the time, communicate effectively, and operate office productivity machinery. Pay and Benefits The pay range for this position is $28.00 - $28.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
