Job Description

Travel requirement: Up to 25% travel as needed This is a working, non-supervisory role with no direct reports. Are you someone who enjoys a mix of hands-on work and administrative responsibilities? We are seeking a Facilities Specialist to support the daily maintenance, organization, safety, and overall functionality of our office and warehouse environments. This role is ideal for a self-motivated problem solver who enjoys variety and thrives in a fast-paced setting. The position consists of approximately 60% administrative and 40% hands-on maintenance duties. As a key member of the team, you will help maintain safe, compliant, and efficient facilities by coordinating maintenance activities, supporting workplace safety efforts, managing facility-related records, and addressing day-to-day operational needs. You will collaborate with vendors, internal departments, and leadership to help ensure our buildings, equipment, and workspaces remain functional and well-maintained. Facilities Operations & Maintenance Coordinate facility maintenance, repairs, inspections, and service requests Conduct regular facility walkthroughs to ensure safety, cleanliness, and operational readiness Manage facility supplies, equipment inventory, and records Coordinate vendors and contractors for repair and maintenance services Respond to facility-related issues and emergencies promptly Assist IT with basic network and infrastructure support Provide backup support to additional company locations and travel up to 25% as needed Office & Workplace Management Support office moves, workstation setups, and workspace reconfigurations Manage facility access, including key fobs, alarms, and security coordination with IT Order office supplies and assist with lease administration, payments, and relocations Safety, Compliance & Risk Management Support and maintain workplace safety programs and OSHA compliance efforts Conduct safety inspections, audits, incident investigations, and corrective action follow-up Coordinate safety training, emergency preparedness, PPE compliance, and forklift certification tracking Maintain OSHA logs, safety records, and compliance documentation Promote a culture of workplace safety and accountability Safety Committee & Continuous Improvement Facilitate Safety Committee meetings and follow-up action items Lead and support 5S workplace organization initiatives, training, and audits Track safety and workplace improvement metrics Vendor, Insurance & Administrative Support Manage vendor relationships, invoices, and service quality Support insurance claims related to property, workers' compensation, and vehicles Assist with leased vehicle coordination and fixed asset inspections Events & Special Projects Support company events and employee activities Assist with special projects as assigned What We're Looking For Associate degree or technical training preferred 3+ years of facilities, maintenance, or building operations experience Knowledge of HVAC, electrical, plumbing, and general building maintenance systems Experience with office space coordination and buildout support preferred Familiarity with OSHA regulations and workplace safety practices preferred Strong organizational, problem-solving, communication, and customer service skills Proficiency in Microsoft Office (Word, Excel, Outlook) Self-motivated, accountable, and able to prioritize in a fast-paced environment Physical Requirements Ability to lift up to 50 pounds and perform physical activities such as standing, walking, bending, and climbing Ability to respond to after-hours facility emergencies when needed Ability to work on-site five days per week Why Join Us?
