OVERVIEW
The Facilities Coordinator is responsible for the day-to-day maintenance, safety, and functionality of IMAN's facilities. This role supports facility operations, capital improvements, and organizational expansion by ensuring all buildings, equipment, and grounds are properly maintained. The ideal candidate is detail-oriented, hands-on, and knowledgeable in building systems and maintenance practices.
KEY RESPONSIBILITIES
Facilities Maintenance & Operations Conduct routine inspections of buildings and grounds to identify and address maintenance needs Perform preventive, corrective, and general maintenance on facilities, equipment, and systems Execute seasonal maintenance (e.g., winterization, summerization) Perform general repairs including carpentry, plumbing, electrical, and HVAC (escalate complex issues as needed) Maintain cleanliness and readiness of facilities and event spaces Move furniture, equipment, and materials as needed Work Order & Systems Management Maintain and update all work orders using the UpKeep system Track maintenance requests and ensure timely completion Maintain inventory of tools, supplies, and equipment Project & Vendor Coordination Assist in planning and executing facility improvement projects Coordinate vendors, subcontractors, and service providers Schedule vehicles, equipment, and resources for maintenance and projects Oversee contracted services (e.g., landscaping, snow removal) Event & Space Coordination Coordinate event setup, breakdown, and space restoration Support space planning, layout, and utilization Safety & Compliance Ensure compliance with IMAN policies, OSHA standards, and applicable regulations Maintain safety procedures for tools, equipment, and facilities Participate in safety trainings and enforce protocols Coordinate with emergency services during incidents Support emergency preparedness and response planning Administrative & Team Support Attend Planning, Operations, and Facilities meetings Collaborate with staff and consultants to maintain safe campus environments Drive company vehicles as needed for job duties Perform other duties as assigned
REQUIRED QUALIFICATIONS
High school diploma or GED. 5+ years of experience in facilities management or related field (preferred) Experience in construction, property management, or building systems Strong organizational, problem-solving, and communication skills Ability to work independently and across multiple teams Experience working in multicultural, multiracial, and multireligious environments Proficiency in Microsoft Office and work order systems (e.g., UpKeep) Familiarity with maintenance tools and equipment Valid U.S. driver's license required
PREFERRED QUALIFICATIONS
Certification or license in HVAC, Plumbing, Electronic or Carpentry Associate Degree or relevant work experience
PHYSICAL DEMANDS & WORKING ENVIRONMENT
Ability to lift up to 60 lbs Ability to work in varying indoor and outdoor conditions, including fluctuating temperatures Ability to operate maintenance and construction equipment Schedule typically starts between 7:00-8:00 AM for an 8-hour workday Must be available for on-call shifts, including evenings, weekends, and holidays Ability to respond to emergency situations as needed
