Full Time, Exempt Position Summary The Facilities Coordinator plays a critical role in ensuring Republic Bank's properties, branches, and operational spaces remain safe, functional, and aligned with brand standards. This individual manages facility-related contracts, coordinates essential services, oversees property maintenance activities, and supports financial and compliance processes that keep the bank running smoothly. The ideal candidate is organized, proactive, and skilled at managing vendors, projects, and operational details across multiple locations. What You'll Do As Facilities Coordinator, you will support and lead key Facilities functions, including (but not limited to): Contract Administration Manage facility service contracts from bid through execution, documentation, and performance oversight. Lead bid processes for facility services and vendor engagements. Maintain contract terms, renewal dates, and termination provisions. Track vendor Certificates of Insurance and monitor service levels and KPIs. Service Coordination Coordinate service calls and vendor support for janitorial, waste management, shredding, pest control, multifunction printers, ATM services, drive‑thru equipment, and USPS needs. Oversee procurement, delivery, installation, and maintenance of furniture, fixtures, and equipment. Financial Administration Review, process, and track facilities, property, and utility invoices. Partner with Accounts Payable and vendors to resolve discrepancies. Monitor facilities budgets and communicate variances. Maintain the annual capital budget for maintenance and improvement projects. Property & Facilities Management Serve as the primary contact for branch construction, renovation, and facility projects. Ensure facilities are clean, safe, well‑maintained, and aligned with brand standards. Coordinate repairs, preventative maintenance, and capital improvements. Maintain facility equipment inventory and conduct regular property inspections. Collaborate with property management partners and respond to building emergencies, including minor hands‑on troubleshooting. Compliance & Risk Management Maintain organized documentation for leases, contracts, COIs, inspections, and compliance requirements. Oversee life‑safety systems, emergency preparedness, and support Business Continuity activities. Manage physical records storage across multiple locations and support retention processes.
SUPERVISORY RESPONSIBILITIES
Office Service Coordinator Corporate Receptionist Who You Are Demonstrated experience in facilities management, commercial real estate operations, vendor management, and regulatory compliance. Experience managing vendor contracts, service agreements, maintenance programs, and invoice approval processes. Working knowledge of HVAC systems, fire and life-safety systems, fire extinguisher services, backflow prevention, pest control, document destruction, and related facility services. Strong project management, organizational, communication, problem-solving, and follow-up skills. Ability to travel between branch and office locations as needed. Ability to provide occasional after-hours support for emergency situations. Professional, collaborative, and able to build strong relationships across departments and with external partners.
