You will take ownership of all renovation and maintenance execution across our portfolio. Mission of the Role To transform renovation and maintenance operations into a system that is: Fast (turns completed in under 7-10 days) Cost-effective (aligned with defined budgets) High quality (no rework, no shortcuts) Fully controlled (no reliance on the owner)
Responsibilities:
Maintenance Operations Own all work orders from start to finish Schedule and dispatch maintenance techs and vendors Ensure all work is completed correctly before closing Eliminate incomplete or falsely marked "complete" work orders Maintain a clean, current pipeline (no work order older than 2 weeks) Renovations & Turns (Make-Readies) Perform move-out inspections, videos, and scopes Create accurate, detailed make-ready estimates Coordinate all vendors (cleaning, repairs, finishes, etc.) Sequence work efficiently to minimize downtime Drive turns to completion as quickly as possible Vendor & Contractor Management Coordinate ~10 repair vendors and ~8 renovation vendors Build and maintain strong relationships Hold vendors accountable for timelines, pricing, and quality Identify better, faster, or more cost-effective solutions Bring new vendor relationships when beneficial Field Execution (When Appropriate) Step in for light hands-on work when caught up Assist with preventive maintenance and minor repairs Support technicians to maintain momentum (
Expected:
10-30% hands-on, up to 30-50% if fully caught up) Documentation & Process Execution Help build checklists and processes and refine over time Follow defined checklists for: Inspections Scopes Turn processes Document all work clearly (photos, notes, completion verification) Ensure all processes are followed exactly Results (How Success is Measured) You will know you are succeeding when: Turns Average turn time: Under 7-10 days Units move quickly from vacancy → rent-ready Maintenance No work orders older than 2 weeks Total open work orders under 10% of total units Work orders are completed correctly the first time Cost Control Renovations completed within defined budgets Proactive identification of cost-saving opportunities Improved pricing and efficiency over time Quality & Satisfaction Minimal repeat repairs High resident satisfaction related to maintenance Clean, consistent standards across all properties Owner Involvement Owner is no longer involved in day-to-day operations Problems are solved without escalation Systems run independently Authority & Decision-Making Execute within defined renovation plans and budgets Escalate when: Scope changes materially Costs exceed expectations Unusual situations arise Authority will increase quickly based on alignment, judgment, and results. What This Role is NOT Not an administrative position Not a passive scheduling role Not a "wait for instructions" job This is an ownership role for someone who wants to run operations and be judged on results. Requirements Strong background in construction, maintenance, or renovations Highly organized with strong attention to detail Able to manage multiple projects simultaneously Assertive with vendors and contractors Comfortable following structured processes and checklists Tech-comfortable (apps, documentation, photos, etc.) What Will NOT Work in This Role Procrastination Overplanning without action Emotional decision-making Poor follow-through Needing constant direction Work Style & Schedule Primarily normal business hours with flexibility Autonomous schedule (no fixed office requirement) On-call availability for emergency maintenance (low frequency) Local Presence & In-Person Coordination You serve as the company's local operational presence , handling any responsibilities that require someone physically on-site. Because much of our team is remote, this role ensures that anything requiring in-person execution is handled efficiently and professionally.
