Position Summary:
Lawrence Public Schools (LPS) educates more than 14,000 students in grades pre-kindergarten through 12 across more than 30 school buildings. Under the direction of the Director and Assistant Director of Facilities or their designee, the Zone Manager of Facilities is responsible for the planning, development, coordination, management, and maintenance of a designated group of district schools and programs to ensure operational excellence, cleanliness, safety, and the full educational use of all facilities. The Zone Manager serves as a liaison between Lawrence Public Schools, the Lawrence Department of Public Works, school administration, and other departments, while also providing high-level administrative support through the management of information, correspondence, scheduling, payroll, and confidential reports. As a highly organized, discreet, and professional leader, the Zone Manager coordinates sensitive communications, collaborates with multiple stakeholders, ensures the efficient operation of the Facilities Department, and recognizes that responsibilities and conduct are not limited to prescribed hours, requiring the time, effort, and commitment necessary to effectively achieve the goals and mission of Lawrence Public Schools.
Essential Duties & Responsibilities:
- Provide leadership, management, and oversight for an assigned subset of district schools and programs ("Zone"), ensuring that all facilities are maintained in a safe, clean, efficient, and educationally supportive condition.
- Coordinate and supervise all custodial, maintenance, and preventative maintenance operations, including the direct supervision, evaluation, scheduling, training, hiring, and performance management of custodial staff across all shifts.
- Conduct regular inspections of buildings, grounds, and equipment; oversee summer cleaning programs; respond to emergency maintenance issues.
- Ensure compliance with local, state, and federal regulations, district policies, environmental standards, and safety requirements.
- Collaborate closely with the Director and Assistant Director of Facilities, school administrators, head custodians, and outside vendors to coordinate maintenance projects, preventative maintenance programs, HVAC operations, specialized equipment servicing, and facility improvement initiatives.
- Manage departmental purchasing and procurement activities, including coordinating bids and contract renewals, preparing bid specifications, obtaining pricing through COMMBUYS, generating and reviewing contracts, submitting purchase orders, processing vendor invoices, maintaining revolving accounts, and ensuring compliance with purchasing regulations and budget guidelines.
- Monitor departmental expenditures, perform monthly cost analyses, maintain accurate financial records, review open purchase orders, and support accounts payable functions to ensure timely processing of payments.
- Oversee inventory management for custodial supplies, equipment, and materials across all district buildings, ensuring adequate stock levels, accurate recordkeeping, and timely distribution of resources.
- Maintain work order systems, track facility repair requests, coordinate responses with appropriate personnel, and monitor project completion to ensure efficient operations throughout the district.
- Provide high-level administrative support by managing correspondence, screening and prioritizing communications, maintaining confidential records, coordinating schedules and custodial calendars, tracking staff attendance and leave balances, processing and balancing payroll and timesheets, verifying payroll account codes, maintaining personnel documentation, and supporting school building rental procedures and recordkeeping requirements.
- Work collaboratively with district staff and departments, provide training and support on systems including Munis, COMMBUYS, payroll, rentals, invoicing, and related administrative functions, maintain confidentiality in all business matters, and perform other duties as assigned by the Superintendent, Chief Operating Officer, Director of Facilities, Assistant Director of Facilities, or their designee.
Knowledge, Skills & Abilities:
- Candidates must possess strong communication and interpersonal skills, both oral and written, with the ability to effectively interact with employees, vendors, administrators, teachers, parents, students, and community members.
- The successful candidate will be a self-starter with excellent organizational skills, attention to detail, the ability to establish priorities, multitask, and perform effectively in a high-volume, fast-paced environment while meeting deadlines.
- Knowledge of state and local codes, advanced mechanical aptitude, and expertise in plumbing, HVAC, and other building systems are required, along with the ability to assess facility needs and make maintenance recommendations.
- Physical strength and agility sufficient to perform frequent physical tasks are necessary.
- Bilingual proficiency in English and Spanish, including reading, writing, and speaking, is strongly preferred.

Qualifications & Requirements:
- High School Diploma, equivalent, or completion of a vocational school program required.
- Must possess a Massachusetts Certified Public Purchasing Official (MCPPO) certification and a valid Massachusetts driver's license with a clean driving record.
- Reliable transportation is required for travel throughout the district.
- Candidates should have 5-8 years of experience in building maintenance, preferably in an educational setting.
- At least 3 years of experience in purchasing, accounts payable, bookkeeping, or a related field.
- Demonstrated proficiency with Munis, COMMBUYS, Microsoft Excel, Word, Google Drive, IQ Incident software, accounting functions, accounts payable processes, contract generation and review, and other related business software is required.
