This role involves managing a small team of maintenance staff and the facilities at various commercial real estate buildings.
Properties include:
One 60+ tenant office building - majority of time and demand. ( home base ) Five single tenant buildings - communicate with tenant facility staff and resolve landlord related issues. Assist, as needed, another facility manager who is responsible for four multi-tenant office buildings. Responsibilities Coordinate, schedule and supervise maintenance subcontractors which include, among others, janitorial, landscape, snow removal, HVAC, electrical, plumbing, elevator, lot sweeping, window washing, life and safety. Responsible for scheduling work of staff for weekly property inspection rounds, maintenance tasks, and tenant work order requests. Primary point of contact between landlord and tenant for facilities and construction issues. Perform daily walkthrough at the home base large multi-tenant office facility and its parking garage/lots. Identify repair issues and assign to appropriate staff, vendors, or self-repair. Respond to service calls beyond the routine items. Review vendor work for compliance with contracts. Assist with the coordination of tenant space fit-ups, including among other things, final space punch list inspections. Coordinate access and escort architects, engineer, brokers, and other property professionals. Provide site information and documentation, e.g., photos and narratives of property conditions during visits. Maintain cloud-based property records to include, among other items, plans, contracts, and insurance certificates. Manage the tenant workorder process, from tenant inquiry through billing, e.g., determining and pricing tenant needs, tenant authorization to proceed, vendor coordination and supervision, tenant satisfaction, assure proper billing. Assist with construction pricing, e.g., sub-contractor walkthroughs, pricing summaries, above standard pricing, tenant approval coordination. Coordinate tenant move-ins/outs with tenants. Coordinate new tenant entry signage. Coordinate and supervise tenant vendors as applicable, e.g., ISPs, IT, access and security vendors. Coordinate special tenant cleaning. Assist with facility related invoice approval and coding. Investigate, document, and coordinate incident reports, e.g., power outages, slip and falls, thefts, motor vehicle accidents, etc. Assist with insurance claim pursuit and process. Provided administrative support to construction manager as applicable. Obtain initial and renewal vendor insurance certificates. Respond to emergency issues at all properties. Diagnose the problem and coordinate required response. Assist with snow removal as needed and coordinate related third-party contractors. Operate snow blowers, plow truck, and assist with hand shoveling. Maintain detailed snow removal activity documentation. Coordinate and assist with annual property inspections, backflow tests, state elevator inspections, etc. Maintain applicable property maintenance related supply inventories. The position will involve some hands-on maintenance work as needed. Qualifications Property maintenance in a commercial office environment. Familiarity with energy management and building access systems. Communicate building related issues and solve problems with tenants in an effective and professional manner. Basic computer skills. Operating a full-sized pick-up truck. Work on ladders (e.g., for roof inspections, and overhead ceiling related work (HVAC equip, light bulbs, ballasts ). Snow removal (e.g., plow operation as well as shoveling and salting) Lifting of mechanical equipment. Live within 45 minutes of Newton.
