A Facilities Manager manages the facilities of a company or organization, including buildings and grounds, equipment, supplies and staff. Oversees maintenance and security of facilities; oversees renovation projects and monitors work to improve energy efficiency, productivity or employee safety. May work in manufacturing and production, or manage hotels, small apartment buildings, trailer parks or recreational facilities.
Full-Time Position Summary The Facilities Manager is responsible for overseeing the administrative, operational, construction, and facility management functions of Vietnamese American Services (VAS). This role ensures the efficient operation, maintenance, and safety of all organizational facilities while supporting office administration, vendor management, and special projects. The Facilities Manager will lead the planning and oversight of building improvements, renovation projects, preventive maintenance programs, and construction activities related to VAS facilities. The ideal candidate will possess strong organizational skills, experience in facility operations, and working knowledge of construction and maintenance practices. Key Responsibilities 1. Facility Operations & Maintenance Oversee the day-to-day operation of all VAS facilities. Develop and implement preventive maintenance schedules for buildings, equipment, and grounds. Coordinate repairs and maintenance activities to ensure facilities remain safe, functional, and compliant. Conduct routine inspections of buildings, systems, and property. Maintain records of maintenance activities, warranties, inspections, and repairs. Ensure compliance with local, state, and federal building regulations and safety standards. Develop facility improvement recommendations and long-term maintenance plans. 2. Construction & Capital Project Oversight Serve as the primary coordinator for construction, renovation, and building improvement projects. Work closely with architects, engineers, contractors, and consultants throughout project lifecycles. Monitor project progress, schedules, budgets, and deliverables. Assist the CEO in evaluating project proposals, bids, and contractor selections. Conduct site visits and project inspections to ensure quality workmanship and compliance with plans. Track project expenses and provide regular progress reports to leadership. Coordinate permit applications, inspections, and occupancy requirements as needed. 3. Vendor & Contractor Management Serve as the primary point of contact for facility-related vendors and contractors. Solicit bids and negotiate contracts to ensure cost-effective services.

HVAC Plumbing Electrical systems Landscaping Janitorial services Security systems Waste management Building maintenance vendors Evaluate contractor performance and ensure contract compliance. 4. Office Administration & Operational Support Oversee office space utilization and workplace organization. Coordinate facility access, keys, security systems, and building usage schedules. Support organizational logistics for meetings and program operations. Assist with managing organizational records and operational documentation. 6. Safety, Risk Management & Compliance Ensure compliance with OSHA, fire safety, health, and facility regulations. Develop and maintain emergency preparedness procedures. Coordinate safety inspections and corrective actions. Investigate facility-related incidents and recommend preventative measures. Ensure proper insurance documentation and contractor certifications are maintained. 7. Organizational Support & Special Projects Support CEO-directed operational initiatives and strategic projects. Assist with facility logistics for community programs and events. Participate in organizational planning related to expansion and facility development. Qualifications Required Associate's degree or equivalent professional experience. Experience in facilities management, construction coordination, property management, building maintenance, or related field. Experience working with contractors and vendors. Knowledge of building systems and maintenance practices. Strong organizational and project management skills. Proficiency with Microsoft Office Suite. Preferred Bachelor's degree in Construction Management, Facilities Management, Business Administration, or related field. Experience managing nonprofit, healthcare, daycare, or community service facilities. OSHA Safety Training certification. Experience overseeing renovation or capital improvement projects.
