JOB OVERVIEW
The Facilities Manager is responsible for the planning, management, and oversight of Unity Environmental University's physical assets to ensure a safe, sustainable, functional, and welcoming environment in support of the institution's mission. The position oversees facilities operations, capital improvement planning, fleet management, third-party service providers, facilities compliance, and maintenance projects across University-owned and leased properties. The Facilities Manager develops and manages facilities operating and capital budgets, coordinates construction, renovation, and maintenance activities, and ensures required inspections, permits, and regulatory requirements are maintained in accordance with applicable laws, codes, and industry standards. This position serves as the University's facilities representative and works collaboratively with internal clients, landlords, asset managers, contractors, vendors, and regulatory agencies to support efficient facility operations, emergency preparedness, and long-term asset stewardship. Through data-informed decision making, proactive planning, and effective project execution, the Facilities Manager helps ensure that University facilities remain safe, compliant, and aligned with institutional priorities.
POSITION SPECIFIC RESPONSIBILITIES AND EXPECTATIONS
Facilities Operations & Asset Stewardship Executes facilities priorities established by University leadership and supports the effective stewardship of University-owned and leased physical assets. Maintains a safe, functional, sustainable, and welcoming environment for students, employees, and visitors. Oversees day-to-day facilities operations across all University locations and ensures timely resolution of facility-related issues. Conducts routine facility assessments and recommends maintenance, repair, and improvement projects. Maintains accountability for institutional facilities assets, including work order systems, asset inventories, key and access control systems, fleet resources, equipment records, and facilities documentation. Coordinates facilities-related purchasing activities, including procurement planning, purchase requisitions, purchase orders, vendor onboarding, invoice review, and contract administration in accordance with institutional policies Maintains accurate records related to facilities, equipment, fleet assets, inspections, warranties, and service contracts. Capital Projects & Facilities Planning Develops project scopes, schedules, budgets, and implementation plans for capital improvement, renovation, and maintenance projects. Manages the design, bidding, contractor selection, execution, and closeout phases of assigned projects. Coordinates architects, engineers, contractors, landlords, property managers, and vendors to ensure projects are completed safely, on time, and within budget. Provides recommendations regarding facility improvements, deferred maintenance priorities, and capital investment needs. Monitors project performance and provides regular progress updates to leadership. Vendor & Contract Management Manages relationships with third-party facilities service providers, including but not limited to property management companies, maintenance contractors, landscaping services, snow removal vendors, waste management providers, security contractors, and specialized trades. Develops scopes of work and obtains competitive proposals as appropriate. Monitors contractor performance and ensures compliance with contractual obligations and service expectations. Reviews vendor invoices and validates completed work prior to payment approval. Compliance & Safety Ensures facility inspections, testing, certifications, permits, and regulatory requirements are completed and documented in accordance with applicable laws, codes, and industry standards. Oversees fire alarm, life safety, environmental, and building systems inspection schedules and corrective action follow-up. Maintains documentation required for regulatory compliance and institutional risk management. Coordinates with local emergency management agencies, fire departments, inspectors, and other regulatory authorities as required. Serves as a member of the University's Emergency Response Team and assists with emergency preparedness planning, drills, and response activities. Budget & Financial Management Assists in the development of annual facilities operating and capital budgets. Monitors expenditures and ensures resources are utilized effectively and in alignment with approved budgets. Identifies opportunities for cost savings, operational efficiencies, and asset optimization. Tracks facilities-related expenditures and prepares reports as requested by leadership. Fleet Management Oversees University fleet operations, including vehicle maintenance, inspections, registrations, utilization tracking, replacement planning, and vendor coordination. Ensures vehicles are maintained in a safe and operational condition. Develops recommendations regarding fleet replacement schedules and lifecycle management. Leadership & Collaboration May supervise facilities employees, student workers, temporary employees, or contractors as assigned. Serves as the primary point of contact for facilities-related operational matters. Works collaboratively with internal stakeholders, landlords, property managers, contractors, vendors, and regulatory agencies. Represents the University's interests during facilities, construction, and property management meetings. Proactively communicates project status, operational challenges, risks, and opportunities to leadership. Supports the implementation of policies, procedures, and operational standards established by University leadership. Participates on institutional ask forces and special projects as assigned.

REQUIRED QUALIFICATIONS

POSITION SPECIFIC EDUCATION, SKILLS AND COMPETENCIES
Required:
Bachelor's Degree in a related field required; equivalent experience may be considered. Three (3) or more years of progressively responsible experience in facilities management, construction management, property management, project management, or a related field. Demonstrated experience managing facility maintenance, renovation, and capital improvement projects. Experience managing contractors, vendors, and third-party service providers. Experience developing, monitoring, and managing operating and capital budgets. Knowledge of building systems, facility operations, life safety systems, regulatory compliance requirements, and industry best practices. Experience with facilities management, asset management, work order, or inventory management systems. Proficiency with Microsoft Office Suite and the ability to learn and utilize enterprise software systems. Valid driver's license with a satisfactory driving record.
WORK SCHEDULE / AVAILABILITY REQUIREMENTS
Work hours are specific to the requirements of this position and can include days, evenings, and weekends as scheduled by their supervisor to best support students. Working extended hours required as needed. Must be flexible and cooperative in fulfilling responsibilities and meeting the Institution's needs. Although Unity Environmental Unive rsity employees are generally scheduled to work at their specifically assigned locations, there are times when travel is necessary, and employees are required from time to time to attend events, meetings, or work temporary assignments at any Unity Environmental University location.
PHYSICAL DEMANDS
While performing the duties of this job, it is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 40 lbs. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, grasping and turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications.
ENVIRONMENTAL CONDITIONS
Work is performed mostly in an office setting. The noise level in the work environment is normally moderate. Exposure to changes of temperature or humidity 1-33% of the time.
POSITIONS AT UNITY ENVIRONMENTAL UNIVERSITY ARE DEPENDENT ON THEIR VIABILITY AND AN ESTABLISHED VIABILITY MATRIX. THE VIABILITY MATRIX FOR THIS POSITION IS
Enthusiastic support and ability to work within the Enterprise Model Unity Environmental University maintains 100,000 square feet or more of managed space across multiple geographically dispersed locations, including at least one institutionally owned facility. Facilities Management continues to be insourced by the Institution. The Institution has an Enterprise model with centralized Facilities Management responsible for a budget of $1M or more.
