Description We are looking for a Facilities Administrative Assistant to support daily workplace operations and help create an organized, welcoming environment for employees and visitors in Burnsville, Minnesota. This contract opportunity is ideal for someone who enjoys balancing administrative coordination, front-desk support, and hands-on facility tasks in a fast-paced setting. The role works closely with internal teams and external partners to keep meetings, office services, and site needs running smoothly. The right candidate will be visible throughout the office, frequently moving between tasks, and serve as a helpful resource for employees, visitors, and leadership.
Responsibilities:
+ Support daily office and facilities operations with a flexible, go-with-the-flow mindset + Greet visitors, customers, and vendors in a professional and welcoming manner at the main entrance + Assist with reception-style responsibilities and serve as a visible point of contact for employees + Order, stock, and maintain office and breakroom supplies, including snacks, beverages, coffee, and other essentials + Help ensure overall office upkeep and organization + Perform daily and weekly maintenance of the main coffee machine and brewing area + Support onsite and offsite meetings and events, including room setup, catering coordination, supplies, and logistics + Assist with PowerPoint presentations and communication distribution as needed + Create and maintain cubicle name tags and office signage + Maintain system for new hires and terminated employees + Partner with Human Resources on new hire setup, site tours, and scheduling + Serve as backup support for employee and temporary badge issuance + Act as the main backup for shipping and receiving functions + Support vendor service requests for office equipment and supplies Requirements Qualifications:
+ 2+ years of experience in office administration + High school diploma or GED required + Proficiency in Microsoft Office, including Outlook, Excel, Word, Teams, and PowerPoint + Comfortable learning new systems and technology Top Skills Needed:
+ Strong organizational skills with the ability to multitask and maintain attention to detail + Excellent communication and interpersonal skills + Proactive, collaborative, and service-oriented approach + Ability to adapt quickly in a fast-moving environment with changing priorities + Comfortable being up and moving throughout the facility during the day Why This Role:
