Blaze is seeking a Facilities-Property Manager who will be responsible for executing Blaze's facilities management and strategy to support the objectives of the organization. This position requires day-to-day hands-on work and day-to-day management of property and facilities staff and vendors. Responsibilities include branch assessment and contract negotiations related to daily operations, as well as project and property management; both in-house and outsourced.Job Type:
Full-time, on-site at our administrative office inSt Paul, MN Major Duties and Responsibilities Facilities Management:
Hands-on and diligent management of facilities Act as point-of-contact for employees, tenants, facilities maintenance vendors and landlords. Communicate promptly and effectively in a consistent manner to all relevant parties. Respond in an expedited fashion to all Facilities Work Order Requests. Administer along with the other facilities staff - video surveillance, security system, HVAC systems and all other relevant processes as assigned. Ensure all support requests are completed on time. Hands-on administration and management will be required as is on-call availability for alarm monitoring on all premises. Assist in managing all lease and property maintenance agreements. Document all processes and procedures. Acquire working knowledge of all facilities management processes and systems. Utilize Security Systems as needed to provide access credentials and security protocols as neededProject Management:
Deliver projects via methodical planning and high attention to detail. Coordinate as directed all aspects of new construction or facilities projects and deliver within budget and within expected schedule. Plan methodically with AVP Facilities by coordinating bids with all necessary vendor partners such as general contractors, sub-contractors and deliver project with high level of attention to detail. Vendor Contract Tracking, COI, Invoice Verification vs bid & contract. Continuous Process Improvement Strategies. Employee-Tennant-Vendor Services Responsible for maintaining the day-to-day relationships with Employees. Prepare Facilities Work memos-emails and all communications as directed by AVP Facilities. Coordinate all arrangements and notifications, acquire proper authorizations, and collect COI {certificates of insurance} as necessary. Maintain daily tenant, vendor, Employee and contractor's contact information by locationFinancial Management:
Reduce cost and increase income where appropriate Vendor management: Ensure all vendor contracts are centralized and diligently reviewed for price competitiveness.Receivables management:
Ensure all receivables from tenants and suppliers are monitored and Managed and cross reference pricing.Accounts payable management:
Reduce total cost of property ownership by routinely studying and implementing best practices that reduce cost of maintenance and property ownership.Budget management:
Assist AVP Facilities in preparing annual budgets and diligently manage operating expenses and Capital Improvements. Follow up on all Employee Facilities Requests with Facilities Team members to ensure completed to satisfaction of Management Audits. Maintain and update employee, client and customer contract databases and Seating Plans. Act as an example to staff by upholding Blaze's values, mission, and goals. Asset Management Visit all properties monthly at a minimum to ensure that they are functional and visually pleasing in all aspects and recommend changes as appropriate. Ensure compliance with ADA and other relevant compliance and routine inspections are current and up to code. Experience/Education/Certifications/Licenses Minimum four (4) to five (5) years of similar or related experience, including preparatory experience. Minimum high School degree or equivalent. Background training or experience with Commercial Property Management, HVAC, electrical, mechanical systems, security software, general building maintenance is preferred. A valid driver's license without restrictions is required for this role Demonstrated Knowledge Advanced knowledge of building maintenance practices Knowledge of HVAC systems Ability to: Negotiate contracts Professionally communicate and develop relationships with vendors, co-workers and senior management, and to lead staff toward the completion of department objectives and goals. Assist in solving problems and making decisions quickly and efficiently to support staff. Coordinate multiple and conflicting priorities, extreme multitasking to provide support to staff and complete projects in a timely manner. Respond positively to change and growth to support Blaze's goals and objectives. Present facts and recommendations effectively in oral and written form. Communication Skills Ability to develop and implement responses to members/staff to document and develop new and ongoing techniques to improve processes; written communications draw from expert information from the field as an individual contributor. Physical Requirements Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise. Able to be on call as required in rotation. Must be able to lift up to 40 pounds. Constant Use of hands/fingers for constant use of a computer or other office equipment Occasional stooping, kneeling, or crouching to maintain files Ability to talk/hear/see to communicate ideas and information so others will understand, and to observe details at close range Prolonged periods sitting and/or standing at a desk in a stationary position and working on a computer (70% or more) Diversity creates a healthier atmosphere, and we encourage diverse applicant depth and breadth. Please note that the specific compensation for this role will be determined based on your experience, qualifications, location, and internal equity considerations. The salary range for this position is: $78,500 to $100,000/annually. This range reflects the base salary for this position.
