Responsible for assisting the Facilities Management System in diverse duties related to data management, operations organization, administrative support functions and/or customer service. Coordinates compliance documents including NFPA-99 andNFPA-101.
Serves in advisory capacity for customer needs, organizing financials for facility projects, word processing, filing, and overall responsibility for organization of assistant services provided. Contributes to the financial and quality outcomes as it relates to the individual departments, Facilities Management System and to Madonna as a whole. Deals with confidential material. Independently proceeds with job duties and project work assigned. Promotes the Madonna mission, philosophy and values. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility.ESSENTIAL FUNCTIONS
Collaborates on-site for compliance testing of Omaha and Lincoln hospitals. Compiles compliance documents related to NFPA-99 (Healthcare Facilities Code) andNFPA-101
(Healthcare Life Safety Code). Works with Facilities, Risk Management, Infection Prevention and Emergency Management to audit and maintain schedules, regulatory compliance and vendor supplied data. Communicates and coordinates with vendors to ensure timely receipt of equipment, documentation and facility needs. Maintains knowledge as it relates to NFPA Codes, Joint Commission Standards, CMS, DHHS, State/City and local AHJ. Works independently on administrative support, tasks and projects by investigating, coordinating, compiling, and maintaining accurate data for inspections, maintenance activities and repairs. Maintains system policies, procedures and protocols to ensure adequate and quality service delivery of departments and functions within facilities management system. Compiles appropriate hospital system, and departmental goals and objectives to ensure quality service. Completes Capital Screening criteria as directed by supervisor or system leader for special projects guided by this department. Stocks, stores and distributes building keys according to Madonna's internal approval process. Builds, changes and adjusts electronic badge access, doors and readers according to internal approval process. Assists with special projects by investigating, collecting, compiling, and maintaining necessary documents and information required, including fire alarm testing data, emergency lighting, fire extinguisher and fire suppression systems. Coordinates coding of departmental and project invoices and submits with appropriate payment authorization. Arranges order for office supplies to meet department needs. Participates in Safety Walks/Environmental Rounding, ICRA, PCRA, and Construction Assessments as requested. Organizes, compiles and retrieves data for system reports (monthly, quarterly and annual) as assigned. Assists with coordination of seasonal facility decorations. Collects, records and acts on lost and found items according to facility standards. Communicates with supervisor regarding general developments, concerns, problems, etc. to ensure quality service delivery. Follows instruction from supervisor and facility leadership to perform other functions as assigned in order to achieve the goals within the system. Coordinates with supervisor and others and oversees volunteers to assigned projects and tasks to meet facility needs. Handles interruptions and rearrange priorities without adverse reaction. Answer appropriate questions and assist all customers to aid in the resolution of issues, as needed adhering to Madonna Core Values. Participates on committees as a representative of facilities as assigned. Travels and operates motor vehicle to perform job duties, including travel between Omaha and Lincoln campuses, as assigned. Maintains and ensure a safe and clean environment for the department and facility. Handles and operate all necessary equipment and perform required duties according to established safety standards to maintain compliance with regulations and prevent injury.PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS
Requires frequent often walking/standing around the facility and across campuses. Requires mobility - bending, twisting, crouching, crawling, climbing, balancing, etc. 50-60% of the time. Primarily inside work. Exposed to occasional loud noise, dusty and dirty conditions. Medium work - occasional lifting up to 50 pounds. Occasional seasonal outside work. Exposed to extreme temperature changes with wet and/or humid conditions. Mobility required to travel between campuses and scheduled events or meetings as needed.QUALIFICATIONS
(Education/training and/or Experience) High school equivalency and one year post high school education required. Two years' related work experience required, preferably in facilities/building maintenance/healthcare and/or like size organization. Additional relevant work may be considered in lieu of formal post high school education. Life Safety systems and data management experience in a healthcare setting preferred. Must be proficient in Microsoft Office applications i.e. Excel, Word and Outlook applications. Must have current valid Nebraska driver's license and must submit a copy of current driver's abstract reflecting a good driving record. Background checks are conducted.
