NATURE AND SCOPE
The Senior Manager of Facility Operations is part of the Museum Operations department, which also includes Exhibits, Curatorial and Collections. This department provides efficient, effective, and collaborative management of the museum's collections, exhibits, and facilities. We take pride in caring for our greatest artifact, Union Station - built in 1931 and now a National Historic Landmark - and the exhibits and collections housed within its walls. The Senior Manager is tasked with maintaining both internal and external areas of the museum and ensuring all systems are operating as intended. With over 200,000 visitors annually, the museum is a highly used facility with a variety of special programming, events and rentals. The Senior Manager of Facility Operations must support this programming by ensuring that the facility is ready, and setup is supported. The Senior Manager is a servant-leader who is charged with developing and managing a hard-working and passionate team who excels in providing superior internal and external customer service. The Senior Manager of Facility Operations position provides the unique opportunity to care for a national historic landmark and the accompanying facilities and grounds that make up The Durham Museum. The Senior Manager is responsible for the overall maintenance, security and long-term care of the museum's buildings and grounds. This position requires an in-depth understanding of the facility as well as knowledge of and experience with lighting, electrical, plumbing, carpentry, painting, mechanical maintenance and cleaning. Knowledge of all local, state, federal and OSHA guidelines is essential. This position requires an individual who is a quick learner with excellent communication and problem-solving skills to coordinate and interact with the management team, outside vendors, customers, staff and volunteers. This position will be responsible for hiring, training, and managing a responsive team of maintenance and event supervisors and facilitators, who will assist in facility maintenance and provide support for all internal and external events. This is a hands-on position, which requires a high degree of responsibility and ownership, flexibility, organization, goal setting and the ability to set priorities and think strategically. The Senior Manager will work closely with the Director of Museum Operations in developing long-range plans that align with The Durham Museum's mission and strategic goals, while collaborating across teams to ensure effective execution of museum initiatives. RESPONSIBILITIES
Leadership Motivate and grow a team of individuals who are well-trained, responsive and responsible for executing the day-to-day work and who embody the core values of the museum Recruit, hire, train and coach Facility Operations team members Understand daily, weekly and monthly museum needs and schedule the team accordingly to ensure proper coverage and support Meet regularly with Supervisor(s) to anticipate and plan day-to-day work Manage and negotiate budgets, vendor contracts, purchase agreements and facility project bids and oversee their successful execution Maintenance of Building and Grounds Organize, drive, and execute all aspects of facility operations to ensure the museum is welcoming, safe and functioning at a high level across the entire museum campus Monitor daily, weekly, monthly and quarterly checklists to ensure tasks are getting done and lists are staying up to date Anticipate, plan and communicate facility maintenance work, periodic deep cleaning, painting and other one-time projects that may impact general operations Ensure prompt response to maintenance or cleaning issues, fixits and radio calls and coordinate appropriate solutions Order supplies and coordinate efficient pickup of supplies as needed Monitor building systems and grounds in weather events and advise leadership on conditions at museum Seasonally remove snow/ice to ensure safety of staff and guests Ensure all systems are operational including HVAC, plumbing, electrical, elevator, fire suppression and security Maintain contract with pest management company and work closely with museum departments to ensure proper intervention and monitoring Work with contractors to conduct annual inspections and associated repairs of roofing system, building envelope system and parking deck and other systems as needed Manage and validate the work of outside vendors and contractors who provide additional services to the museum on a daily, monthly and annual basis Establish and maintain Standard Operating Procedures for preventative maintenance Develop and drive the implementation of the museum's long-term facility maintenance plan to ensure that it aligns with the museum's strategic initiatives Security Oversee security and protection practices to ensure a safe environment and train staff on protocols Manage the access badge process for employees according to position requirements Routinely review opening and closing procedures to ensure efficiency and compliance Event Support and Asset Management Collaborate with other museum departments planning events to ensure proper coordination of setup, security and cleanup for all museum events Communicate effectively with Event Managers, Supervisors and Facilitators to respond to floor plans and day of event changes Maintain and train on care and use requirements for museum furniture and other assets Review requests for special projects from other departments and determine feasibility and scheduling for Facility Operations team's assistance General Responsibilities Work with the Director of Museum Operations in establishing and executing annual departmental goals and is responsible for the execution of those goals Support the museum's overall strategies and operational activities within the Museum Operations division. Participate in all mandatory training and safety programs required and provided by the museum. Responsible for working within department and program budgets as approved by the Board of Directors of the museum for all areas of responsibility. 3-5 years of building maintenance and facility operations management experience required. 3-5 years of experience managing and motivating a highly engaged, effective, efficient team. Technical training or degree in related field, preferred. Strong computer and internet skills with demonstrated experience in Microsoft Office including Word, Excel, and Outlook. Highly developed organization skills with demonstrated ability to prioritize tasks and manage workflow for efficient operations. Must have valid Driver's License. Must be able to use a variety of hand and power tools to perform work within maintenance trades WORKING CONDITIONS
Required to work evenings, weekends and on call hours to meet Museum operational needs. Will serve in an on-call capacity to monitor building systems and assist with facility emergencies, as needed. Routine periods of sitting, standing, kneeling, walking, climbing, lifting, and balancing are required. Must be able to operate machinery, climb ladders, lift 50lbs, go up and down stairs, and sit or stand for extended periods. Comfortable with heights and tight spaces. Benefits:
