Job Description

The Property Supervisor is responsible for the upkeep and security of the YWCA association facilities including: a main building, one off-site childcare center, and an off-site Safe Dwelling at a confidential location. All buildings have heating and cooling systems, commercial or residential kitchens, grounds including playgrounds, parking areas, security systems, and the main building has an indoor pool.
Responsibilities:
General Facilities:
a. Ensure the cleanliness and good repair of all buildings with heat, air conditioning, hot water pool, kitchen and security systems functioning safely and in compliance with codes and standards. b. Ensure maintenance of exteriors of all buildings including lawns, sidewalks, driveways, parking lots, fire escapes and playgrounds. This includes snow removal, salting, lawn mowing, weeding, etc. c. Maintain certifications required to operate a pool/spa. Attends required training prior to certification expiration. d. Utilizes personal vehicle to travel between work sites. Mile reimbursement is provided. e. Monitors compliance with preventative maintenance program for HVAC equipment; make daily rounds to check on the building with program directors. f. Ensure monthly equipment safety checks are completed; follows-up to ensure that issues identified during safety checks are repaired. g. Maintains library of code manuals and warranty information for all equipment. h. Locates, inspects, troubleshoots and initiates repairs. i. Utilizes an online maintenance tracking system to manage submitted work orders. Work orders are completed in a timely manner. j. Major licensed trade work and code-required inspections are contracted; this role focuses on prevention, coordination, and in-house repairs within skill level.
Budget:
a. Supports the facility budget including building repair and maintenance, equipment repair and replacement, supplies. Requires collaboration with the Finance Director and all Program Directors. b. Works with the Executive Director and respective YWCA Maintenance Committee to formalize and implement a current and long-range facilities maintenance and improvement plan. Plans work to be done during annual shut down week. c. Works with vendors, contractors, inspectors and repair service providers; assists with bid collection and vendor coordination in all repair/construction projects using purchase order procedures. Requires collaboration with Executive Director, Finance Director and all Program Directors. d. Responsible for record keeping including a variety of reports, inventories, certifications, ordering of equipment/supplies and contracted vendors.
Security/Safety:
a. On-call 24/7 for true building emergencies (life safety, flooding, loss of heat, break-ins, and fire/security alarm escalation). b. Name is on file at Police Department to be called along with Executive Director in emergency situations. c. Maintains safe, code-compliant facilities by following OSHA standards and meeting NYS OCFS and local Department of Health and Fire Department requirements.
Project Management:
a. Works closely with the Executive Director and Program Directors to manage special projects including seeking bids, managing vendors and contractors and overall management to ensure that work is getting completed on time. b. Works to ensure that special projects funded through grants meet the grant timeline and vendor stipulations.
Qualifications:
3-5 years facilities/mechanical experience required. Pool operations experience preferred or must obtain certification within 6 months. The agency will pay for the Certified Pool Operator (CPO) training. Preferred experience in construction and/or pool/spa maintenance, electrical, plumbing, HVAC and/or facilities management.
Working Conditions:
Must be available (on call 24 hours per day) and flexible. Exposure to heat, noise, some heavy lifting and responsible for the safe handling and storage of hazardous chemicals. (CO2, muriatic acid and chlorine). Must wear protective equipment when necessary (masks, protective ear and eye gear and gloves.)
Compensation:
Starting $21-$25/hour. Wage is dependent on experience, certifications, and mechanical skill level.
