Job Overview:
The Facilities Coordinator will assist the Operations Management Team, in a variety of administrative responsibilities in a facilities environment. This position is responsible for administrative support for timekeeping, basic on-site human resources duties, reception, customer service, and other related tasks.
Responsibilities:
Track approved proposals. Process invoices, including monthly Brickman and monthly phones. Track and reconcile Department of Building inspections. Handle phone inquiries and general customer service and relay requests to staff. Submit monthly billing using CBS' proprietary software systems and Microsoft Excel. Review and track all invoices and vendor communication. FACMAN - Facility Management System administration. Creation and tracking of all billable Work Orders for Projects and events as per scheduling related to this account. Generate weekly, monthly and quarterly reports pertaining to budget tracking and expense reports. Administration of equipment Maintenance and inventory.
Qualifications:
High School Diploma. Minimum of 2 years of professional administrative experience. Must be highly organized with great attention to detail and a high standard for accuracy.
Advanced technical skills:
strong knowledge of Excel and Microsoft Suite systems, high comfort level leveraging reporting tools daily. Strong relationship building skills, specifically able to build effective relationships with client management, other facility teams, client representatives, CBS staff and management. Knowledge and ability to utilize online facilities maintenance management systems a plus. Experience in a union environment is a plus. Proactive to raise concerns and recommendations to management whenever possible. Self-starter able to work with a high degree of urgency and under pressure to meet deadlines. Able to work in a fast paced environment with multiple projects at the same time. Strong English communication skills both written and verbal.
