Position Summary:
Daily management of Company facilities in White Plains, NY. Facilities may include regional offices, warehouse space, training center, and airport ramps. Primarily responsible for ensuring efficiency, neat appearance, and full facility functionality by conducting daily floor checks of common areas, conference rooms, and kitchens. Work in conjunction with the landlord, other stakeholders, and local Company leaders to provide vital support for all facilities and building management functions.
Major Job Accountabilities:
The manager will be responsible for assigned facilities to ensure efficiency, neat appearance, and full facility functionality by conducting daily floor checks, including common areas, conference rooms, and kitchens. When deficiencies are identified, initiate corrective action to repair/replace. Participate in the project development and execution of corporate directives and assigned projects. Primary point of contact for special events and meetings. Manage catering, set up, and booking of conference rooms. Act as primary administrator of conference room calendars and schedules. Ensure the best and highest use of conferencing resources; work to limit inefficient use. Collaborate with Property Management to ensure timely, accurate processing of all work orders and monitor for completion. Supervise Regional Office Receptionist and manage schedule. Provide relief coverage to the receptionist during scheduled breaks. Manage and coordinate temporary reception coverage for the Receptionist during planned absences. Oversee and/or perform office management responsibilities to ensure an effective and operational workplace for employees and teams, such as ordering/restocking office supplies and shipping supplies. Respond to employee facilities requests in a prompt and pleasant manner. Ensure compliance with corporate standards for space allocation and functionality. Collaborate with facility maintenance, including dispatching and escorting vendors working in the building. Receive vendor deliveries and sign receiving documents. Review all invoices and verify services have been rendered and/or products received, then process for the manager's approval. Manage and coordinate internal seating changes and relocations, as well as new-hire seating, including coordinating furniture reconfiguration, cleaning work areas as necessary, and assisting with any other facility-related employee requests. Provide a tour and basic explanation of facility-related issues to all incoming employees. Maintain an updated employee location list in the Facilities Database. Maintain information related to Company equipment for assigned locations. Oversee and coordinate off-site archiving. Oversee and manage coordinated schedules for mail pick-ups and deliveries, including postage metering where applicable. Action inquiries regarding office (not cargo) shipment status and run tracers as necessary. Perform additional duties assigned.
Qualifications:
High school diploma required, 4-year college degree preferred, or equivalent relevant experience. Minimum five (5) years of facility management experience. Minimum two (2) years of vendor or people management experience Preference for Certified Facility Manager (CFM)

Some lifting is required.
Skills:
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Familiar with computerized building and maintenance management systems Experience with AutoCAD and Bluebeam preferred Dependability and the ability to communicate effectively with others. In addition, a range of benefits to include medical, dental and vision insurance, employee assistance program, as well as generous paid time off, and 401K contributions are offered as a part of the total compensation package.
