Job Description
Position Summary The Facilities Administrative Assistant provides administrative and operational support to the Administration department, ensuring the efficient operation, maintenance, safety, and compliance of company facilities. This role acts as a key point of contact for internal staff and external vendors, supporting day-to-day facility operations, work order coordination, and administrative functions. Key Responsibilities Operations & Maintenance Support oversight of building operations, including HVAC, electrical, plumbing, and other facility systems. Assist with coordinating routine inspections, preventive maintenance, and repairs. Manage and maintain company owned vehicles. Staff Relations Serve as the primary point of contact for building occupants, responding to inquiries, service requests, and complaints. Vendor & Contractor Coordination Coordinate with vendors, contractors, custodial services, and security personnel to ensure timely completion of services and repairs. Assist with managing vendor contracts and service agreements. Safety, Security & Compliance Support implementation of facility security protocols, including key distribution and access control. Assist with maintaining surveillance systems and emergency preparedness plans, including evacuation procedures. Help ensure compliance with applicable building codes, safety regulations, and health and security standards. Administrative Support Prepare reports, maintain maintenance logs, and manage facility documentation. Process invoices, purchase orders, and facility-related correspondence. Assist with compliance documentation. Inventory Support Project and maintain inventory of office supplies, facility supplies and equipment and coordinate purchasing as needed. Skills and Experience Previous experience in facility management, building operations, property administration, or administrative support in a facilities-related environment is preferred. Working knowledge of building systems, maintenance practices, and safety regulations. Strong verbal and written communication skills with the ability to interact professionally with staff, and vendors. Excellent organizational skills with the ability to manage multiple tasks, schedules, and priorities effectively. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Education High school diploma or equivalent required
