BASIC PURPOSE
The Coordinator of Facilities will be responsible for coordinating the optimal working environment for the entire facilities division by providing maintenance and support services to appropriate areas. Equally as important, the position will follow tasks such as purchasing and payroll from beginning through completion. The position will make certain that companies receive the purchase order and then follow through to completion of the job, or verification that the items were received. The Coordinator will be responsible for dispatching employees effectively for routine emergency calls received for the department. The Coordinator supports the Maintenance, Capital Projects, Custodial, and Grounds operations at both campuses. •This position requires a drug screening as part of the employment process. •This position has college-wide responsibilities. The primary office location is the Blue Bell campus.
ESSENTIAL DUTIES AND RESPONSIBILITIES ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinate multiple calendars, meetings, and projects for the Director of Facilities and all the departmental calendars. Coordinate Facilities Management-wide purchasing, including requisitions, purchase orders, credit card usage, vendor onboarding, and documentation. Identify cost-saving opportunities and engage vendors to ensure best-value procurement. Utilize eCommerce platforms to identify qualified vendors, streamline purchasing workflows, and enhance cost-efficiency. Ensure quotes and bids are received in a timely manner. Maintain service agreements and contracts, tracking renewals and assuring vendor compliance. Collaborate with campus departments to identify Facility needs and coordinate with Facilities Management administration and staff to complete repairs and service requests quickly and effectively. Support the coordination of deferred maintenance projects and associated budgets that include the Facilities Master Plan to 2033 (PDE) and the annual facilities deferred list. Prepare for monthly deferred maintenance meetings within the Facilities Management team and finance for the PDE items. Receive and dispatch facility calls to appropriate personnel. Create work orders for each job. Enter receipts for work orders to track for the appropriate budgets. Close out work orders after the supervisor approved them to be completed. Also maintains the inventory and overstock in the Asset Essential work order system. Assist the Assistant Director of Facilities with reports, such as utilities and payroll, and submits the same to appropriate offices in their absence. Review payroll for errors and export final report. Manage SharePoint site that centralizes capital project timelines, milestones, closeout requirements, and project documentation, enhancing visibility and alignment between Facilities Management and Finance. Coordinates with contractors for dates and times to meet for estimates and start dates for jobs. Serve as backup to supervisors and directors. Train new administrators on the College's procurement and payroll policies and procedures. Other duties as assigned.
ESSENTIAL KNOWLEDGE AND SKILLS
High School Diploma or GED required. Associate's degree in related field preferred. Two (2) years of relevant experience required; facilities experience preferred. Exhibits sound judgement and the ability to think quickly during emergencies. Excellent administrative, oral, and written and interpersonal skills. Experience in coordinating multi-calendars. Ability to handle multiple tasks and priorities. Exceptional organizational skills. Proficiency in Microsoft Office applications, including Internet, email, database, spreadsheet, word processing and presentation experience.
