Young Conaway is seeking a highly organized, service-oriented Facilities, Hospitality & Events Coordinator to support facilities, hospitality, and event services across the firm's Wilmington, New York, and Charlotte offices. This visible, hands-on role helps create an exceptional experience for clients, visiting attorneys, and firm personnel while supporting the smooth operation of the firm's workplaces. This is a nonexempt, on-site position with the potential for occasional remote work, schedule permitting, following successful completion of the 90-day orientation period. The core schedule is 7:30 a.m. to 4:00 p.m., with a one-hour lunch period. Flexibility is required for occasional early mornings, evenings, and weekends based on the firm's event needs. Hours worked outside the regular schedule are compensated in accordance with applicable law and firm policy. Occasional travel to the firm's New York and Charlotte offices may be required.
KEY RESPONSIBILITIES
Event Coordination:
Event Coordination Schedule and manage event approvals Coordinate room setup, catering, AV, staffing, rentals, and cleaning On-site presence during events to ensure smooth execution Manage event-related invoices and billing Maintain annual event budget and vendor relationships
Hospitality Services:
Coordinate the day-to-day work of Parcels Hospitality staff and assist with meal and event service as needed. Coordinate visiting attorney menu planning Assist with meal setups and pantry services Ensure dietary needs and food allergies are addressed Order snacks and beverages for Snack Stations and conference rooms Coordinate the firm's Lunch Lift Program Facilitate food donations to 302 Food Rescue Manage catering invoices Maintain training manuals and identify opportunities for continuous improvement Ensure that the kitchenettes, snack stations, and conference rooms are regularly and properly stocked
Client Services:
Participate on Client Services Committee Help resolve client-service issues and identify opportunities to enhance service quality
Facilities Management:
Provide facilities, hospitality, and event-planning support for the firm's New York and Charlotte offices, including coordinating with local office personnel, vendors, and service providers, as needed. Process weekly Parcels invoices for food deliveries and hospitality staffing Assist with maintenance coordination and conference room scheduling Coordinate workspace, access, conference room, and related facilities needs for visiting attorneys
Other Duties:
Communicate effectively with personnel across the firm and outside vendors Complete special projects and assignments as needed
QUALIFICATIONS
Client-facing hospitality, catering, event, or food-service experience required Catering or hospitality-management experience preferred Working knowledge of dietary restrictions, food allergens, and appropriate food labeling required Strong organizational skills and exceptional attention to detail Demonstrated initiative, sound judgment, and a service-oriented approach Ability to anticipate needs, resolve issues calmly, and manage multiple priorities and overlapping deadlines Excellent verbal and written communication skills Proficiency with Microsoft Outlook, Word, and Excel Experience coordinating vendors, budgets, invoices, or inventory preferred Professional discretion when working with clients, attorneys, firm personnel, and confidential information Flexibility to work occasional early mornings, evenings, and weekends, and to travel between firm offices as needed At Young Conaway, you will find a beautiful facility in the heart of Rodney Square and a dynamic and friendly professional environment with opportunities for professional development and growth.
