Your top priority as a Facilities Specialist is to provide operational expertise and coordination to support Northern Tool + Equipment locations nationwide by ensuring timely resolution of facility-related issues, maintaining safe and functional environments, and partnering cross-functionally to minimize business disruption and control costs. Key Responsibilities:
Facilities Operations & Help Desk Management Monitor, manage, and document facilities-related work orders using the company's Help Desk/CMMS platform, ensuring accurate records and timely resolution. Triage and assign service requests to internal teams, external vendors, or other departments as appropriate, including after-hours and weekend coverage as part of an on-call rotation. Serve as a primary point of contact for retail store leadership regarding facilities issues, providing updates, guidance, and resolution timelines. Vendor & Maintenance Management Manage facilities maintenance and repair activities within assigned areas of responsibility, including defining scope of work, obtaining competitive bids, and overseeing vendor performance. Negotiate and administer preventive maintenance (PM) programs for assigned equipment and systems in alignment with company standards and cost objectives. Coordinate warranty-related repairs by verifying coverage, working with vendors, and ensuring timely resolution. Project & Capital Support Support capital and non-capital projects such as store openings, remodels, closures, and major repairs by coordinating vendors, scheduling work, and authorizing asset procurement or removal. Assist with planning and execution of complex repairs, providing recommendations, cost estimates, and timelines to management. Financial & Budget Adherence Track, manage, and document facilities-related expenses within assigned budgets. Identify cost-saving opportunities, analyze spending trends, and make recommendations to management to improve operational efficiency. Ensure SOP adherence to budgeting and reporting requirements. Risk, Safety & Compliance Partner with Property Management to identify landlord-responsible items and ensure work is coordinated per lease agreements. Support life safety, emergency response, and compliance-related repairs to ensure continued business operations and a safe working environment. Participate in facilities audits and inspections as required. Communication & Collaboration Maintain clear and proactive communication with supervisors, retail leadership, vendors, and internal partners regarding issues, risks, and project status to ensure a coordinated work effort and team approach. Escalate critical issues appropriately to minimize operational impact. What you will bring to the table: Associate's degree or equivalent work experience; bachelor's degree preferred 3 + years' work experience in facilities coordination, maintenance, or vendor management Strong mechanical aptitude and continuous desire to learn Ability to manage multiple priorities and projects in a fast-paced environment Strong customer service skills and sound decision-making abilities Ability to gather and manage information from a variety of internal and external sources and work independently to accomplish established goals Strong written and verbal communication skills Excellent knowledge of MS Office applications, especially Excel Promotes safety awareness and adheres to all company safety, security and regulatory policies and procedures Willingness to participate in an on-call rotation Ability to travel up to 4 times per year for 1-3 days at a time Demonstrates Northern Tool + Equipment's 12 Core Competencies About Us Northern Tool + Equipment is a family business with roots stretching back three generations to Minnesota's Iron Range, where our blue-collar work ethic and commitment to serving the people who do the tough jobs was born.
