Job Description
About Us Job Summary The Lead Facility Coordinator provides day-to-day guidance and workflow oversight for Facility Coordinators while maintaining the core duties and responsibilities of the Facility Coordinator role. This position serves as a subject-matter expert and the first point of contact for guidance and issue escalation within the team. The Lead Facility Coordinator supports new hire training, team coaching, and adherence to standard operating procedures, promotes best practices across the team, and partners with the Operations Supervisor to maintain accurate and up-to-date process documentation. Essential Duties & Responsibilities
- Serve as the primary escalation point for Facility Coordinators on complex, high-priority, or unresolved issues, including service calls, vendor delays, and customer concerns.
- Provide functional leadership and day-to-day workflow oversight for Facility Coordinators, including task prioritization and adherence to standard operating procedures.
- Coordinate and oversee the full work order lifecycle within the CMMS system, ensuring timely creation, accurate documentation, approvals, and closure.
- Coach and mentor Facility Coordinators, supporting skill development, CMMS proficiency, customer service standards, and issue-resolution best practices.
- Monitor operational trends and recurring issues; escalate risks, concerns, or process gaps to the Operations Supervisor as appropriate.
- Receive and respond to incoming calls to the LC Help Desk during designated hours, gather required information, and dispatch appropriate resources within required timeframes.
- Create and manage assigned work orders to completion, including follow-up with vendors and internal or external clients.
- Update the CMMS system with work order approvals and communicate approvals to internal facility managers and internal/external vendors.
- Resolve third-party invoices by coordinating with the account team and Accounts Payable to ensure accuracy and timely processing.
- Communicate and coordinate with appropriate stakeholders, including Facility Managers, customers, vendors, and internal teams, as needed.
- Enter, update, and maintain accurate project and service data within customer portals and internal systems.
- Support recurring services and preventative maintenance programs to ensure continuity and compliance.
- Attend internal meetings with Facility Managers, teammates, and leadership to support coordination, alignment, and operational effectiveness.
- Perform other duties as assigned Qualifications Education (HS Diploma, Under/Graduate Degree, etc.)
- Highschool Diploma with equivalent experience or associate's degree (A. A.) Business Experience (prior years work/related experience)
- 1-3 years of experience in facilities coordination, building operations, or related field in a fast-paced environment.
- CMMS experience preferred Licenses/Certifications
- Valid driver's license Language Skills
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Technical Qualifications & Skills
- Ability to adapt to rapidly changing situations in a fast-paced environment
- Flexibility to work overtime and provide holiday coverage on short notice, as needed
- Self-motivated with the ability to manage multiple tasks with minimal supervision
- Ability to work under pressure, make sound decisions with limited input, and determine when to escalate issues to the Facility Manager, Operations Supervisor, or Operations Manager
- Strong customer service mindset with the ability to maintain a courteous and professional demeanor at all times
- Punctual, reliable, and committed to a strong work ethic
- Demonstrated critical thinking and problem-solving skills
- Strong organizational and time-management abilities
- Professional and respectful in an office environment, demonstrating courtesy and teamwork with coworkers
- Ability to maintain professionalism and positive working relationships in an office setting
