Job Description

Job Description:
Auto Data Direct (ADD), a division of Reynolds and Reynolds, stands at the forefront of delivering fast, accurate, and real-time access to motor vehicle, vessel, and driver license records is looking for an Office and Facilities Coordinator to join our team. As the Office and Facilities Coordinator, you will be responsible for :
  • Overseeing main facility, additional facility, and fleet vehicles
  • Serving as liaison with corporate on all facility-related matters
  • Coordinating building maintenance, repairs, and contractors
  • Managing safety infrastructure and conduct annual inspections
  • Overseeing routine maintenance (generator, pest control, HVAC)
  • Acting as primary contact for cleaning staff
  • Ensuring proper function of electrical, mechanical, and plumbing systems
  • Managing fleet vehicle issues, maintenance, and checkout requests Other duties include:
  • Managing vendors, including NAD requests and W-9 compliance
  • Coordinating associate events and internal meetings
  • Processing invoices, check requests, and vendor payments
  • Performing credit card reconciliations
  • Administering associate drug testing
  • Supporting onboarding and offboarding processes
  • Ordering and maintaining office supplies, snacks, and beverages
  • Maintaining conference room readiness
  • Ordering and managing inventory of temp tags and related materials #
LI-Hybrid Training:
On-the-job, training one on one with a mentor
Requirements:
High school diploma or equivalent College degree preferred Minimum of 5 years of experience in Facilities Management preferred Minimum of 3 years experience in Event Planning and General Bookkeeping preferred Exceptional written and verbal communication skills Exceptional attention to detail and troubleshooting skills Exceptional computer skills including Microsoft Suite and Adobe and navigating the web Ability to manage a facility (vendors, inspections, grounds, equipment, etc...) Self-starter who will ensure tasks are completed and done in a timely manner Must have a valid driver's license, with fewer than 2 moving violations in the last three years and no
OVI/DUI/DWI
violations in the last five years
