This long-term contract position is ideal for someone who enjoys keeping workplace services organized, responding quickly to facility-related needs, and creating a smooth experience for employees, guests, and vendors. The role requires a hands-on, detail-oriented individual who can balance administrative support with practical office and building coordination. This position follows an onsite schedule Tuesday through Thursday.
Responsibilities:
Coordinate day-to-day facility activities by monitoring office conditions and addressing operational needs in partnership with the broader facilities team. Report workplace concerns, maintenance issues, and service disruptions promptly to the appropriate facilities leadership for resolution. Verify that visitor check-in systems and related equipment are functioning properly each day and escalate issues when necessary. Perform minor hands-on fixes, such as basic lighting adjustments or similar small repairs, until external service providers are available. Collaborate with internal managers and property management contacts to support a safe, organized, and efficient office environment. Manage incoming mail and deliveries, including sorting packages and arranging mail forwarding when needed to other teams or headquarters. Welcome onsite vendors, provide building access as authorized, and ensure they follow established visitor check-in procedures. Maintain office supplies, organize shared spaces, and add clear labeling or wayfinding materials to improve usability throughout the workplace. Assist with additional facilities and office support tasks as priorities shift during daily operations. Prior experience in facilities coordination, office administration, reception, or a similar support role. Ability to handle clerical responsibilities such as document scanning, mail processing, and general office organization. Comfortable answering inbound calls and assisting visitors, employees, and vendors in a courteous and detail-oriented manner. Strong communication skills with the ability to relay issues clearly and work effectively with multiple stakeholders. Willingness to take a hands-on approach to minor office repairs and day-to-day facility support needs. Proficiency in managing multiple tasks, staying organized, and responding to changing priorities with minimal supervision. Availability to work onsite in Austin, Texas on a part-time schedule, Tuesday through Thursday.
