DESCRIPTION
Perform highly advanced administrative support and program assistance work for several programs and databases in the regional facilities offices. Work involves coordination and/or dissemination of information, develop processes and systems, and coordinate internal administrative support work. Work under minimal supervision with considerable latitude for the use of initiative and independent judgment. The following Military Occupational Specialty codes are generally applicable to this position.

ESSENTIAL DUTIESESSENTIAL DUTIES / RESPONSIBILITIES
1. Manage Regional Facilities front office administrative duties (i.e. customer inquiries, department/divisional policy updates, compile/process reports, answer phones, Mgt scheduling). 2. Input requisitions for materials, custodial supplies, and equipment for personnel. 3. Liaison with HR to process Time Entries/Audits, FMLA and Onboarding/Offboarding process. 4. Research and resolves routine issues with Facilities staff and other divisional personnel. 5. Process work orders, contract invoice receiving, and monthly reports for P-cards and carbooks. Trains and assists Facilities Clerk (if applicable). 6. Manage security access and maintain database. 7. Order bulk fuel for the Region and maintain monthly reports for submission to SharePoint. 8. In the absence of the Regional Facilities Manager, acts as the primary Regional representative regarding all facilities matters. 9. Create and submits requisitions for annual lawn, janitorial, and pest control contracts. 10. Coordinate the accounts payable process to ensure vendors and supplies are appropriately paid for goods and services. 11. Attend work regularly and observes approved work hours in accordance with agency leave and attendance policies. 12. Perform other duties as assigned. GENERAL QUALIFICATIONS and
REQUIREMENTS
Education
  • High School Diploma/equivalent required. Thirty (30) hours of college coursework preferred. Experience
  • Minimum of four (4) years of progressively complex work experience performing office management, business administration, or personnel administration/staff support.
Two (2) years experience performing secretarial or administrative work in an environment involving concentrated use of personal computers using word processing software and budget preparation work.
Substitution Note:
One (1) year of additional education may be substituted for each year of experience required, up to 2 years
Note :
30 semester hours will be considered equivalent to 1 year of education Licensure and/or Certification

  • This job may be responsible for conducting research on, working on, or having the ability to access critical organizational infrastructure; must be able to maintain the security and integrity of the infrastructure related to this role.

  • Working knowledge of, or the ability to rapidly assimilate information related to TXDPS, State and Federal regulations, legislation, guidelines, policies and procedures. Supervisory/Managerial/Leadership Skills

Salary is contingent upon qualifications and is subject to salary administration and budgetary restrictions.
